Job Duties:
Collections Supervision and Accounts Receivable Activity - Supervise, hire, and train credit collection specialists as well as coach, motivate, mentor, and develop them to meet goals. Ensure that employees are properly trained (not only for their own responsibilities but for backup support as well) and seek out ways to advance their skills and capabilities. Evaluate and anticipate work volume and assign/distribute work accordingly. Meet with direct reports regularly, review their accounts and offer guidance in relation to collection efforts, accounts receivable activities, customer account maintenance and legal issues. Identify areas of opportunity and develop action plans for account improvement. Review adjustments to customer accounts. Review reports for results versus budget and goals. Ensure adherence to company collection policies and procedures. Escalate issues as needed to management. Maintain detailed job instructions and processes as a resource library for the Crown Credit Collection team. Customer Service and Collection Activities / Bankruptcy Administration - Maintain communications and develop strong relationships with customers to ensure assigned accounts are kept current. Document collection efforts within the software system, so others know what is occurring on accounts, in addition to tracking customer contact information for future communications. Follow up on past due invoices and notify company branches and dealers of credit concerns. Escalate and issue default letters to customers and communicate action to branches, dealers, and management. Listen to customer needs and provide solution-based services such as invoice consolidation. Gather pertinent account information and work with legal and/or collection agencies regarding bankruptcies, including adjustments to bad debt. Track and keep account status current on bankrupt accounts and communicate with US Lease Returns and Branch Ops on buyouts, lease returns, fair market value (FMV), and repossessions. Report Preparation and Miscellaneous - Create aging reports, collaborate with and report to banks on accounts aging over 60 days old, and follow up on skipped invoices and new booking reports. Review aging accounts and meet with collectors to ensure they are meeting goals. Handle special projects including, but not limited to, generating reconciliations. Perform other tasks as assigned. Customer Invoice Activities - Revise invoices to accommodate specific customer requests. Enter invoices into payment portals, update ACH information, process check by phone and credit card payments. Update billing groups and billing address changes. For customers requiring purchase orders, contact customer for updates and revisions. Apply changes and provide revised invoices. Employee Development - Perform the various Talent Development duties such as creating/revising job descriptions, conducting Talent Development Discussions, rating performance, establishing/tracking goals and completing annual wage reviews. Responsible for coaching, motivating, and developing direct reports to successfully take on additional responsibilities.
Minimum Qualifications:
8-15 years related experience Associate degree (Accounting, Marketing, Finance, Management or Supply Chain)
Non-degree considered if 8+ years of related experience along with a high school diploma or GED
Preferred Qualifications:
Bachelor degree in Accounting, Marketing, Finance, Management, Supply Chain, or related field. Good communication and problem-solving skills. Skilled in Excel and business writing. Able to work in a team environment and objectively analyze business risks.
