The Medical Education Coordinator reports to the Clerkship Program Manager and is
instrumental in ensuring the efficient functioning and coordination of the
foundational and clerkship programs within the Foundational Clinical Sciences
(FCS) department. This role provides administrative support to the department
manager, clerkship directors, and faculty contributing to the seamless delivery
of educational initiatives.
Primary position responsibilities:
Provide administrative support to the department manager and clerkship directors, including scheduling meetings, preparing agendas, and maintaining electronic files. Assist with the revision and distribution of educational materials, such as handbooks, manuals, and training resources.Manage clerical tasks related to clerkship program operations, such as subcommittee minutes, data entry, filing, maintenance requests, and record-keeping.Assist with the coordination of learning seminars, special events, and social activities, such as orientation sessions, workshops, appreciation events, and networking opportunities.Coordinate logistics for educational events, including travel, room/venue selection, catering, and audiovisual support.Collaborate with faculty and staff to ensure events are well-planned and executed effectively.Maintain accurate records for clerkship rotations and preceptor schedules. Schedule meetings and maintain up-to-date office hours for faculty/staff to attend to medical students' requests. Serve as a resource liaison to route medical students to correct person(s) to addressing any concerns or challenges they may encounter.Provide instructional support to faculty in preparation for didactics, during classes, and with proctoring exams.Perform basic education technology setup and support.Maintain regular communication with stakeholders, including students, faculty, site coordinators, and external partners.Disseminate information about clerkship program updates, policies, and deadlines through various communication channels.Assist with outreach efforts to promote clerkship opportunities and recruit preceptors and clinical sites.Assist in monitoring the quality of clerkship experiences through ongoing evaluation and feedback mechanisms.Collect and compile data related to student performance, site evaluations, and program outcomes for analysis and reporting.Participate in quality improvement initiatives aimed at enhancing the effectiveness and efficiency of clerkship programs.The above statements describe the job’s essential responsibilities and requirements.
