Commercial Sales Administrative Assistant

Position Overview:

Under the direction of the Sales VP, the Commercial Sales Administrative Assistant is a company representative who performs various administrative duties and provides sales support per company policies and procedures. 


The overall focus of the position is to assist the sales managers in all areas, except for the order management support team role, which is handled by the inside sales team. This position aims to increase the sales managers’ time and focus on direct sales and with customers. The result would be increased sales, higher engagement with existing customers, and an increased customer experience for new and existing customers. 


The second part of this position supports our functional group training sales, coordinating the group training under the direction of the Functional Training Solutions Manager. This includes coordinating training events, order support, processing expenses and invoices, and maintaining calendars.


Responsibilities:


Sales Related:

· Engage with existing customers and help to improve the customer experience for both new and existing customers. 

· Ensure orders are released, shipped, and installed promptly and efficiently through collaboration with other departments.

· Support the Large Account Managers (LAM)/Territory Managers (TM) by assisting with revisions, updates, and smaller proposals while they are traveling. 

· Be a secondary point of contact for customers when LAM/TM is on vacation, at trade shows, conferences, etc. 

· Assist in collecting required paperwork to finalize orders, including site surveys, site readiness, customer information sheets, etc., or other aspects of customer onboarding. 

· When needed, be a conduit with order management and Accounts Receivable (AR) to get existing and scheduled orders shipped.

· Participate in meetings, either live or virtual, with all departments, when appropriate, in order to be well-versed and knowledgeable in all facets of our company and to serve as a clearinghouse for the team.

· Support Regional Directors (RDs) where needed on order status, reporting in relation to KPIs, and other possible needs.


Coordinating Group Training: (Dotted line report to Functional Training Solutions Sales Manager):

· Maintain a schedule for training events for each of our education modalities. A partial list includes Sprint 8, Sprint 8 GX, Matrix Ride, MX4 + MX4 Active, etc. 

· Support GoTo Webinar virtual training for Sprint 8 and Sprint 8 GX.

· Periodically assist Functional Fitness Solutions (FFS) & Indoor Cycle Sales Director to manage sales, open orders, and opportunity reports.

· Help coordinate all training events by ensuring all equipment and materials are in place for each training session. 

· Maintain inventory of attendees and certifications.

· Monitor the distribution certifications; only trainers achieving passing scores / attending are awarded certificates. 

· Assist the FFS & Indoor Cycle Sales Director in providing ongoing review and implementation support to ensure customers achieve their business goals with our products and services. 

· Collect post-training quantitative surveys to monitor customer satisfaction with each of our training sessions and track the performance of our Master Trainers. 

· Process expenses, including approving and processing invoices from Master Trainers and submit them to Accounts Payable (AP).

· Regularly schedule and maintain a calendar for customer kick-off calls, conferences, customer calls, visits, etc.

· Responsible for maintaining and renewing all continuing education (CEUs) with their respective national governing bodies.

· Maintain Inspire 360, ensuring all trainings are established and attendees are entered into their corresponding trainings. 

· Maintain serial numbers for bikes at key account locations.

· Manage changes to who receives the distributed workouts to customers on an annual basis and maintain the customer workout database. 

· Create monthly shipment reports for all group training categories and report quarterly to leadership.

· Providing exceptional customer service by guiding customers to notify CTS when service requests are received. 

· Update and renew MT Contracts every two years.

· Support tradeshow initiatives from a group training products side, including procuring trainers, scheduling, and invoicing.

· Assist with new hire education on all Group Ex solutions.

Requirements


Education:

· Minimum high school diploma or equivalent is required

· Additional training/education, such as an associate degree, with a combination of experience is preferred


Experience:

· Work experience demonstrating excellent organizational skills, attention to detail, and efficient interdepartmental communication required

· Knowledge of the fitness industry is preferred

· Fitness industry experience a plus


Other Requirements:

· Proficient in Excel, Word, PowerPoint, Outlook required

· Software experience with CRM (SFDC), Auto Sketch, or similar is preferred. Experience with SAP is a plus.
