**Job Summary**
Under minimal supervision, the Communications Specialist will be responsible for planning, organizing, directing, and controlling all aspects of various programs and events. This role requires a strong focus on strategy, implementation, and logistical coordination. The Communications Specialist will manage a diverse range of events including networking conferences, awards ceremonies, educational programs, and other events promoted by TLO and UVH . The position will act as a representative for the U and its stakeholders to ensure continuity and quality in all event-related services.
**Responsibilities**
+ **Develop and manage strategic goals for association partnerships and internal programs,** ensuring alignment with established strategic business objectives.
+ **Manage all aspects of events and programming** related to assigned programs, including networking conferences, awards, and educational events.
+ **Develop and maintain an annual strategic events calendar** and coordinate high-level engagements across multiple platforms.
+ **Write clear and strategic program content,** develop agendas, and create presentation materials that align with program objectives.
+ **Serve as the department representative** on various committees and in meetings to address program-related issues.
+ **Communicate effectively with all stakeholders** to ensure productive meetings and a balanced event schedule.
+ **Prepare or oversee the preparation of program budgets,** including sponsorship funds, and monitor expenditures to ensure financial alignment.
+ **Coordinate marketing and promotional materials** for new and existing programs, ensuring consistent messaging to both internal and external stakeholders.
+ **Facilitate collaborative relationships** with external community associations, vendors, and institutional partners to support program success.
+ **Attend weekly department meetings** and work at on-site events, including those before or after normal business hours.
In addition to the primary responsibilities, the Communications Specialist will:
+ **Consult with clients to assess event needs,** ensuring all logistical and strategic event requirements are met.
+ **Oversee venue and catering arrangements,** including contracts, AV needs, and compliance with university guidelines.
+ **Manage event collateral,** such as name tags, swag, and printed materials, to ensure a professional and consistent brand presence.
+ **Maintain and manage vendor relationships** for event logistics, ensuring the timely and accurate delivery of services and materials.

**Minimum Qualifications**
+ Bachelor’s degree in a related area or equivalent experience (2 years related work experience may be substituted for 1 year of education).
+ Background in event planning, project management, or marketing.
+ Experience with Salesforce or similar CRM tools is preferred.
+ Demonstrated ability to perform the essential functions of the job as outlined.
**Preferences**
+ Experience in small business or entrepreneurial environments.
+ 3-5 years of project management experience.
+ General marketing experience, particularly in event promotion and coordination.
