Communications and 4-H Program Assistant - Kingston, NY
The Cornell Cooperative Extension Ulster County (CCEUC) Communications and 4-H Program Assistant provides general support to the communication team and administrative support for the 4-H Youth Development Program and the Association. Under the supervision of the Outreach & Engagement Manger, the Assistant will help implement communications strategies to increase overall reach and brand awareness. They will use print media and digital media outlets to promote active campaigns, engage the public, and increase online presence. This position also has specific administrative responsibilities related to the 4-H program area under the oversight of the 4-H Program Leader and provides administrative support to 4-H Educators. This position serves as part of the administrative team responsible for reception (door and phone), general correspondence, reports, database management, registrations, and general record keeping. This is primarily an in-office position and is expected to cover reception duties at the front desk from 3-5 pm Monday-Friday. Required Qualifications: + High School Diploma or equivalent education. + Experience relevant to the role of the position. + Ability to meet travel requirements associated with this position. + Ability to meet acceptable background check standards. + Ability to work flexible hours which may include evenings and/or weekends, as appropriate. + Ability to use online tools to engage members, donors, and corporate partners. + Experience with social media outlets for personal use (Facebook, Instagram, LinkedIn, etc.) + Ability to manage long-term goals within a context of day-to-day deadlines. Ability to organize work and set priorities; work independently, attend to details; handle multiple tasks; work under pressure. + Must be able to demonstrate ability to work as part of a team and to relate and work effectively with diverse people and groups. + Must demonstrate a high degree of integrity, sound professional judgment, and the ability to handle confidential and sensitive information. + Strong organizational skills including the ability to create and support effective organizational systems and event management. + Demonstrated ability to communicate effectively through oral, written, Internet and visual channels. + Ability to display commitment to and enthusiasm for the mission of CCE. + Ability to maintain a positive and professional attitude and appearance. Maintain a positive public image of CCE when dealing with clients, volunteers and stakeholders. + Working knowledge of Microsoft Office (particularly Word, Excel and PowerPoint) and general understanding and use of Internet and social media. Preferred Qualifications: + Experience or coursework in marketing, communications, graphic design, social media management, journalism or related fields. + Ability to assist in delivering informal and formal marketing, communications, and development programs addressing diverse audiences. + Familiarity with marketing and outreach methods. + Knowledge of Adobe Creative Suite, Canva, or other media editing software. + Database maintenance and coordination experience, especially related to Customer Relationship Management. + Experience with MailChimp, Constant Contact or another mailing list-serv. + Previous experience working with volunteers. + Experience using key social media outlets for business (Facebook, Instagram, X/Twitter, YouTube, LinkedIn) + Strong writing and editing skills, with strong attention to detail. + Outgoing, enthusiastic and creative. + Bilingual (Spanish). Responsibilities/Essential Functions: Administrative Responsibilities: Coordination/Operation - 95% + Assist the Outreach & Engagement Manager in daily marketing and outreach related tasks to implement the Association Communications Plan. Provide administrative support for tasks related to outreach, marketing, and/or development efforts. + Assist in delivering customer relations management (CRM) strategy and maintain database to further fundraising and development efforts. + Follow content calendar and schedule posts to CCEUC’s social media outlets. May assist in monitoring activity and user interactions for all social media outlets with supervisor oversight. + May assist in reformatting general CCEUC and program campaign messaging for different outlets or-specific audiences + Under guidance of supervisor, assist in content creation for printed and digital publications, social media, and other outlets. + May assist in ensuring digital content meets digital accessibility standards. + Provide general Association administrative support including office reception, record keeping, word processing, ordering office and program supplies, standard communications and e-newsletters, reporting, filing, copying, scanning, faxing, telephone calls, answering phone, customer service, calendar, travel arrangements, organization of information for meetings, mailings, and mail distribution. Use worksheets and databases for data entry. + Serve as part of the association’s administrative support team and communications team under the supervision of the Outreach & Engagement Manager. Will have additional administrative responsibilities related to the 4-H programs under the oversight of the 4-H Program Leader and direction of 4-H Educators. + Handle general record keeping, such as preparing vouchers, Accounts Receivable cash receipts log, etc. + Assign or coordinate tasks and small projects; give guidance to temporary support staff performing similar work. Perform routine data collection, compilation, or basic statistical data computations. Arrange straightforward meetings, appointments, and travel. Prepare simple reports from records. + In coordination with the program staff, respond to requests for information about 4-H programs and activities in the community as well as general information about CCE programs. + Prepare and assemble materials for distribution to clients, volunteers and for use in educational programs. + Maintain an efficient filing system including 4-H volunteer management files, correspondence, mailing lists, meeting minutes and program files. + Take minutes at 4-H meetings and distribute in a timely way to all stakeholders. + Provide administrative support at events and meetings during evenings and weekends as needed. + Coordinate and maintain e-news, database files and mailing lists for the Association and program areas, including 4-H enrollment. + Set-up, receive and maintain program registrations and prepare accurate financial records for fee programs, vouchers, and bulletins. + Work to set up Fair entries, input and process entries in the Blue Ribbon system. + Schedule use of space for programs and pass contracts through necessary risk management procedures + Responsible for statistical reporting system. Maintain confidential program participant information in accordance with EPO guidelines. Work with the staff to ensure that necessary reports are compiled, and deadlines met. + Coordinate registration, set-up, and prepare resources for special projects. + Provide support and coordination for various County and State Fair activities including enlistment of judges, scheduling of animal shows, staffing and coordination of volunteers for designated shows, programs, and events. + Maintain communication with constituents and the community through variety of methods such as newsletters, e-mails, electronic technology, internet, phone messages, social media, website postings and content. + Act as first point of contact for 4-H Volunteers within the County. + Advise program staff on operational policies, procedures, and guidelines. + Travel to and from 4-H and/or association events, e.g. Ulster County Fair, including transport of materials. Professional Improvement - 5% + In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities. + Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.
