Community Association Coordinator (Rizzetta & Company)

This position is with Rizzetta & Company, Inc. who is an affiliate of FirstService Residential Florida, Inc.

 

The Community Coordinator’s functions include assisting with the planning, executing
and facilitating of community programs, activities and events, assisting the Manager with
administering the association’s ARC process, administering the amenities rules,
regulations, processes and procedures, interfacing with vendors, preparing work orders,
and resident relations.


EXPERIENCE & EDUCATIONAL QUALIFICATIONS


1. High School Diploma or GED and a minimum of two (2) years’ experience in the
field or related area.
2. Successfully pass pre-employment screenings and background/reference checks.
3. Possess a valid driver’s license and reliable transportation.
4. Possess personal vehicle insurance with a minimum of $100,000/$300,000 liability
coverage.
5. Ability to travel to local office markets. Travel is primarily during the business day.
6. Ability to work a Tuesday-Saturday schedule and occasional evenings.
7. Ability to work independently with minimal supervision.
8. Ability to coordinate/manage multiple projects at the same time.
9. Ability to interact and communicate effectively with colleagues, vendors and
customers/clients of all professional levels.
10.Demonstrate leadership in maintaining high standards of professional behavior for
self and staff.
11.Demonstrate organization, attention to detail, problem solving, creative, and
independent thinking.
12.Demonstrate a commitment to the organization’s philosophy of high quality,
professionalism and organizational culture.

 


KNOWLEDGE & CRITICAL SKILLS


Must have a working knowledge of applicable company policies, procedures, state
licensing standards, and must be familiar with accreditation expectations, including, but
not limited to:


1. Knowledge and application of Microsoft Office, Adobe, and Windows based
products.
2. Knowledge and application of tablet/iPad.
3. Knowledge of Community Association Management.

 


ESSENTIAL DUTIES & RESPONSIBILITIES


1. Provide the best possible customer service to the residents and guests to maintain
a safe and comfortable environment.
2. Develop and coordinate special events, programs, and recreational activities for
the community including family events, seasonal and holiday events, and small
and large group events.
3. Prepare and distribute event advertising and related resident communication.
4. Troubleshoot and resolve issues relating to the successful execution of events.
5. Coordinate the rental of recreational rooms for private parties and activities and
the collection of deposits.
6. Pre-event coordination with facility renters, vendors, or residents to ensure
proper equipment set-up, staffing, and pre and post maintenance.
7. Complete private event rental forms, security deposits, and check-in/out
documents.
8. Processing of architectural applications, making sure all required information is
obtained from homeowner and submitting information to the Architectural Review
Committee. Participate in ARC meetings as needed. Generate and process ARC
letters.
9. Meet vendors in community, participate in site walks, and generate work orders as
needed. Request proposals or bids, business licenses, and insurance policies
from vendors.
10.Maintain/program community access systems and issue cards/remotes.
11.Prepare and distribute community mailings.
12.Assist with the general daily operations, management, and organization of the club.
13.Enforce the rules and regulations of the facility.
14.Maintain high standards of appearance, cleanliness and condition of club.
15.Assist in assessing the condition of common property resulting from neglect,
vandalism, and/or depreciation, and report to Manager.
16.Assist Manager as needed.
17.Other duties as assigned by Manager.

 


WORK ENVIRONMENT


This position requires working both in the community and in an office setting. While
working in the community you may be

1.) driving (sitting) in your car for long periods of
time, and

2.) walking medium distances throughout the community and exposed to the
elements.


This role routinely uses standard office equipment such as computers, phones,
photocopiers, filing cabinets and fax machines.
