Community Impact Coordinator/Administrative Assistant
Community Impact Coordinator/Administrative Assistant Mission-driven and highly entrepreneurial property management firm focusing on affordable multifamily and senior housing is seeking a qualified individual to serve as Community Impact Coordinator/Administrative Assistant at Pocasset Manor Apartments. This individual will be a bright and dynamic leader with hands-on experience in resident services and the demonstrated ability to successfully assist with day-to-day operations.     The Community Impact Coordinator/Administrative Assistant serves as the liaison between our residents and the community-based service providers who can assist the residents with issues beyond affordable housing. She/he supports property management at their assigned property(ies) in a variety of administrative tasks and processes and is the first point of contact for residents and visitors to the office.   Characteristics, Duties and Responsibilities  Welcome new residents and establish contact with existing residents to explain the community impact programming that is available  Develop and maintain relationships with local service providers that effectively assist residents in maintaining their tenancy and achieving individual and family goals  Coordinate collection of data for annual resident survey, utilize data to understand resident needs and interests. Conduct formal and informal assessment of resident needs through other supplemental activities such as 1-1 meetings, door knocking and other community outreach. Coordinate the delivery of services with local human service providers, including on and off-site programs for residents Maintain all necessary information regarding services to residents in a confidential manner Support resident efforts in community building initiatives by organizing events, conducting door knocking visits and maintaining a presence in the community  Communicate with residents by newsletter, flyer, bulletin board, etc., to ensure residents are informed of available resources and programs  Review and submit all billing and program reports required by funding sources, monitoring entities, POAH Communities and POAH  Establish goals for Community Impact programs, partnerships and outcomes. Utilize data to make continued progress towards goals Identify promising programs or opportunities for youth and families in the community  Collaborate and coordinate with Property Management team to ensure residents remain stably housed and in compliance with lease terms  Answer and route incoming phone calls and greet guests and visitors  Respond to inquiries from residents, applicants, guests, vendors, and employees, and escalate as appropriate Receive and distribute incoming mail daily  Process outgoing mail and package shipments daily; track shipments to confirm delivery  Submit office invoices for payment Assist with collecting and processing rent payments  Process background checks on prospective residents Take work order requests from residents  Maintain inventory of office and kitchen/breakroom supplies Draft correspondence, make photocopies, scan and fax documents, and perform other clerical functions May perform data entry into company databases  May assist with distributing marketing materials and/or showing apartments to prospective tenants  Complete other related tasks as assigned   Requirements and Qualifications 1-3 years of related experience, with at least one year of experience in resident or social service programs  Bilingual -Spanish Fluency Required College degree preferred; degree in social services, urban planning, public health, human services, or community development preferred  Ability to manage workflow to ensure quality and timeliness  Previous experience in affordable housing preferred  Possess strong oral and written communication skills  Excellent customer service skills  Strong administrative and organizational skills  Basic proficiency in the use of computers including Word, Outlook and Excel  Ability to travel throughout the neighborhood and engage in door knocking efforts Ability to work periodic overtime and flexible hours required, including weekends and evening   BENEFITS AT POAH COMMUNITIES At POAH Communities, we prioritize the well-being of our employees and their families.
