Conference Center Manager

JOB DUTIES

Events:

Manager the day to day operation of conference center events including corporate, social, and non-profit events, and internal meetingsConduct client meet and greet prior to event as well as post event follow up as directedMaintain vendor relationships, agreements and certificates of insuranceAssist clients with onsite event coordination including, but not limited to catering, hotel accommodations, decorations, etc.

Administrative:

Coordinate labor for events including janitorial and security and loading dock scheduleBe knowledgeable of the conference center audio visual equipment and its operation as well as maintain and secure equipment

Contract File Administration:

Keep up to date status of all contracts for events, preferred vendors, non-preferred vendors, etc.Distributes inner office memos as directedCoordinates appropriate labor for all events and as directed                                                        Coordinates security as directedSecure insurance certificates (COI) as directedFile all correspondence as directedConfirm client full payment is received prior to all events

Management

Responsible for the supervision of the Conference Center Attendant and vendor staff, providing daily support and management of job performanceManage staff to meet JLL Experience Management, 111 S. Wacker and contracted client’s expectationEvaluates and participates in the hiring of the Conference Center Attendant, provide training in JLL Experience Management policies and procedures along with the property’sCounsels and coaches team members regarding unsatisfactory performance, including recommendation of termination when appropriate

General Event Planning Services:

Handle all event planning requests in a timely manner from 111 S. Wacker and contracted clients, see through from beginning to end to ensure that they run smoothly be proactive to provide follow-up, updates and status on any and all requests in a timely mannerOther concierge-related requests, as neededOther reports, duties, meetings TBD

SKILLS AND APTITUDES

Event sales and marketing experience preferably coming from the hospitality industry with 3-5 years’ experience. Event planners with 7 years’ experience.Must be able to develop and evaluate event budgetsMust have experience developing and leading marketing activities to include website development.Must have contract negotiation experienceCandidates with outside sales experience and cold calling is a plus.Must have high proficiency in MS Excel and other spreadsheets, experience with CRMs.Able to multi-task in a fast-paced environment, accommodating and communicating to a broad range of clientele with varied needsAble to think quickly and efficiently when confronted with a client requestMotivated self-starter who is able to work with minimal supervisionCreative problem-solverProactive, approachable and solution-focusedProfessional demeanor and appearanceStrong planning and organizational skillsExcellent interpersonal and communication skillsTakes initiative and anticipates needs of othersFlexible and adaptablePunctual and consistentAnticipates the needs of clientsComputer literacy, specifically MS Office applications and InternetCommitment to company valuesKnowledge of amenities offered

EDUCATION AND EXPERIENCE

Four-year degree preferred or partial degree with life experience3-5 years’ experience direct event planning Hospitality, or related field is desirable.Conference Center management, highly recommended
