Job Summary Summary: As a Conference Planner, you will contribute to the operation’s success by coordinating details for conferences, meetings and special events. You will offer personalized solutions for our clients and work with our operations team to make sure we exceed our client’s expectations. Essential Duties and Responsibilities: * Manage shared inbox. * Approve room requests in Condeco. * Daily and weekly reports to be sent at the end of the day weekdays. On Friday, the Monday report, and the next week report * Visiting partners report to be sent to IT on Fridays and Monday early morning to the email distribution on file. * Support front desk as needed. * Walkthroughs * Create update cancel modify bookings as needed. Special control of Central Park rooms and buffer time. Blocking spaces for setups ahead of time. * Blocking Federal holidays in Condeco. * Screen through emails for any updates for current day reservations, inform manager and specific department accordingly once confirmed with client. * Walkthrough the conference spaces for upkeep and inspection for meeting set up, catering set up and special/ additional requests. * Ensure the printed Daily report is accurate based on last minute changes, updates, and modifications. * Check in with manager for quick briefing on events of the day. * Check all emails on shared Inbox and respond proactively, inform manager for VIP requests. * Check in with Reception for any support required and for escorting guests. * Create update cancel modify bookings as needed. Special control of Central Park rooms and buffer time, Block spaces for setups ahead of time. * Prepare Daily report for team and print out few copies. * Distribute copies and brief Daily report during daily team meeting. * Send out updated daily report over email in case of any changes last minute. + Answers telephones and makes reservations for clients. + Plans for use of the conference center. + Communicates to operating departments including Conference Services, Catering, and Audio Visual as needed. + Finalizes all planning details with clients and distributes to all operating departments. + Checks all conference rooms and ensures Audio Visual equipment are set according to customer standards before client arrives. + Provides business center services when requested. + Tracks information in the database and runs end of day reports. + Performs other duties as assigned. Qualifications: + 2 years of planning experience. + Keep abreast of industry trends and share information with staff. + Exceptional customer service abilities. + Proficient computer skills and knowledge of MS Office products, including Word, Excel, PowerPoint, Outlook, and internet. + Bachelor’s degree is preferred.
