Job Summary University Relations and Marketing is seeking two Conference & Event Coordinators. These are full-time (1.00 FTE ), 12-month, professional faculty positions. The role of the Conference & Event Coordinator is to plan, organize, coordinate, evaluate, and participate in a variety of on and off campus events and conferences. This includes planning and monitoring performance against event, conference and organizational goals and objectives and ensure program results; interact with internal and external programs, clients, faculty, staff, students and project stakeholders to plan and execute the logistics of conferences and events. Key Responsibilities 90% Conference and Event Management + Daily event coordination and oversight, including planning and execution of event logistics, wrap up and assessment of event goals associated with messaging, theme, quality, budget, audience and other strategic and relevant event outcomes associated with the University’s strategic marketing, communications and engagement plan. + Reviews event, scope of project, and determines needs such as: staff, vendors, duties, training, administrative actions, etc. + Develops and manages conference and event specific budget, including tracking, reporting, and projections. + Ensures compliance with University policy, and state, federal and NCAA regulations. + Establishes and maintains relationships with internal and external stakeholders, including university faculty, administrators, committees, federal, state, and local agencies, professional associations to ensure successful execution of conferences and events. + Assists with client intake and booking for events held at the LaSells Stewart Center. + Develops and enforces procedures and practices to ensure quality and safety standards for events. + Manages information, contacts, contracts, payments and income in Ideal Logic. + Negotiates contracts for external vendors and oversees event preparation and execution for those vendors. 10% Other duties as assigned What You Will Need + Bachelor’s degree or an equivalent combination of education and experience to perform the primary duties of the position. + 3 years of experience managing high level of events and/or conferences This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months. This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
