Conference Services Coordinator I (In-Office)
**Resp & Qualifications** **PURPOSE:** The Coordinator, Conference Services I is responsible for the planning and coordination and execution of high level and large group events/meetings held in the CareFirst Conference Centers. Events are planned to meet the needs and expectations of the Board of Directors, CEO, Executive Leadership and other internal associations and external community partner clients. **ESSENTIAL FUNCTIONS:** + Meet with the client before, during and after the event to plan, execute and debrief the event needs and expectations such as planning timeline, invitations, attendees, presentations, catering, room layout, security and parking. + On event day meet and maintain contact with the client, manage the schedule of the day, caters, registration, guests, security, parking, AV, IT, housekeeping and what is needed for the success of the event in accordance with the Conference Center Guidelines. + The incumbent provides daily oversight and management of the CareFirst Conference Services space, conference rooms and Blue Workspace, which includes the availability of room scheduling, room set-up, room maintenance, catering services and AV partners. + During the course of planning and executing events/meetings the incumbent will problem solve issues that may arise, + Events/meeting planning notes, catering documents and presentations are managed and maintained utilizing the event management software system. **QUALIFICATIONS:** **Education Level:** Bachelor's Degree in business related area or equivalent work experience OR in lieu of a Bachelor's degree, an additional 4 years of relevant work experience is required in addition to the required work experience. **Experience:** 3 years event planning **Knowledge, Skills and Abilities (KSAs)** + Must have excellent decision making, problem-solving, creative thinking, organizational and coordination skills. + Must have excellent interpersonal, oral and written communication and presentation skills to interface with all levels of management, associates, and vendors. + Understands business operations/procedures in identifying project objectives and output requirements. + Be able to work efficiently and effectively under stress and tight time constraints. + Ability to work hours to accommodate events (early morning, late event and or weekends) and travel to multiple locations. + Must possess a positive attitude and the ability to handle confidential and sensitive information. + Must be able to meet established deadlines and handle multiple customer service demands from internal and external customers, within set expectations for service excellence. Must be able to effectively communicate and provide positive customer service to every internal and external customer, including customers who may be demanding or otherwise challenging. **Salary Range:** $48,672 - $96,668 **Salary Range Disclaimer** The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the work is being performed. This compensation range is specific and considers factors such as (but not limited to) the scope and responsibilites of the position, the candidate's work experience, education/training, internal peer equity, and market and business consideration.
