Responsibilities Construction Administration Coordinator provides administrative support to project teams and staff during the construction phase of projects. Duties Include: Construction Administration Coordination: Support several projects by tracking and processing submittals and RFIs on Newforma, Procore and others as required Process to RFI's in a timely manner Process submittals and physical sample submittals in a timely manner Maintain current document sets in Newforma’s Document Control Upload and download files using (PIM) systems like Newforma and Procore Complete other duties as assigned by the CA Managers Generate reports using Newforma Prepare digital documents using Revu BlueBeam and Newforma Provide Newforma assistance to multiple offices Maintain and manage check out list of Personal Protection Equipment (hard hats, safety vest and safety glasses.) Also, manage checking out of projectors, cameras, etc. General Administrative: Maintain calendars and schedule appointments as needed Manage incoming mail, e-mail, and faxes Monitor registrations, memberships, and licenses, ensuring they are current Schedule meetings as requested, including the reservation of conference rooms and conference calls Monitor cleanliness of public areas on floor to which assigned, including kitchen, printer area, and conference rooms Monitor office inventory and order supplies as needed (office supplies, coffee, paper products) Monitor and order shipping/mailing supplies (UPS and USPS) Process incoming/outgoing mail and shipments daily and distribute to appropriate Page employee Monitor and update conference room calendars, set up refreshments, order catering when needed for meetings. Break down and restore first floor conference room to normal configuration after meetings have ended Monitor inventory of supply room and drawers on first floor; straighten as needed, note supplies, snacks and drinks that need to be replenished for kitchen talks and monthly meetings Other duties as assigned Qualifications Minium 3 years of experience in an administrative role; experience in an Architectural/Engineering/Construction (A/E/C) firm is preferred Must be a US Citizen and be able to obtain government security clearance Available to work 8am – 5pm Monday through Friday Excellent communication and customer service skills include language proficiency and ability to answer multi-line phone system Working knowledge of Microsoft products, including Teams, Office (Word, Excel, PowerPoint, Outlook), including mail merge Working knowledge of (PIM Software) Newforma, Procore, BIM 360, etc. Must be dependable, punctual, organized, and be able to work independently Team attitude, ability to multi-task and prioritize Base Compensation: $50,000 - $60,000 (Actual compensation is subject to variation due to such factors as education, experience, skills and/or location) #LI-JK1
