Construction Administrative Assistant

Pay rate - 20-22/hr. The position provides assistance with vendors on construction, maintenance and all aspects of facilities for company owned restaurants. This person will be reporting to the Senior Manager of Facilities and Construction.
- Assist in the scheduling and coordination of routine maintenance and repair work for the facility. This includes liaising with vendors and contractors for services such as HVAC, electrical, plumbing, and landscaping.
- Support in managing office layout changes, space reconfigurations, and move coordination.
- Conduct regular inspections of the building to identify maintenance issues or safety hazards, reporting them to the Facilities Manager.
- Ensure that the facility complies with local health and safety regulations. This includes maintaining fire safety equipment, emergency exits, and building signage.
- Assist with managing inventory of supplies, equipment, and materials, including ordering and stocking.
- Assist with the planning and execution of construction projects, from new builds to renovations or remodels. This can involve scheduling, budgeting, and assisting with contractor management.
- Maintain project documentation, including budgets, timelines, and change orders. This can also involve generating progress reports for stakeholders.
- Serve as a point of contact between the construction team and vendors, contractors, and other external stakeholders. Ensuring the timely delivery of materials and services.
- Assist with inspecting construction sites for compliance with design specifications, safety standards, and quality control.
- Help coordinate the work of subcontractors, ensuring that work is being completed according to schedule and within budget.
- Monitor and track construction and maintenance budgets. Ensure that expenditures are within limits and report discrepancies to the Facilities and Construction Manager.
- Assist in sourcing and purchasing materials for construction and facilities maintenance, ensuring cost efficiency and quality.
- Maintain detailed records of work orders, repairs, maintenance schedules, construction contracts, and related documents.
- Serve as a communication point between internal teams, external contractors, and other departments regarding facilities needs or construction status.
- Organize meetings and coordinate schedules for site visits, inspections, and project reviews.
- Address and resolve any facility-related concerns or requests from tenants or building occupants, including troubleshooting building-related issues.
When working on construction projects, ensure smooth communication between clients and the project team.
