Construction Assistant

Position supports Construction Project Managers by providing administrative and order processing support for construction projects. This position will serve as the first line of communication for the Contractors and Vendors in the field with regards to delivery dates and responses to traffic/delivery issues. Position will interact with Vendors, General Contractors, and Dollar Tree/Family Dollar personnel on a regular basis. Performs specialized task assignments on an as needed basis. The ability to deal with many types of individual personalities, needs, and requests, while maintaining a professional attitude is key to succeeding in this role.
Principal Duties and ResponsibilitiesSupport Construction Project Managers by providing administrative support and order processing for up to 800 total department new construction projects annually (up to 160 + new store projects individually) plus any rebuild projects assigned.Communicate with Project Managers, Vendors and General Contractors in the field regarding construction and delivery issues.Manage and prioritize a high volume of emails (upwards of 100 or more per day)Complete tasks, including but not limited to, issuing POs, change orders, managing accruals, and material chargebacksCode Vendor requisitions to ensure they correlate to the proper accounting unitDepartment reviews and issues approximately 1,200 + Construction Memos / Urgent Change Notices within a Fiscal Year and post to the Company PortalBecome familiar with various fixture types (30+) and what vendors supply themBasic knowledge of how to read floor plans and layoutsAssist with system and process training of new Construction Project Managers, Vendors, and General Contractors to ensure the onboarding process goes smoothlySystematically mark Projects as complete once new stores are confirmed as open and create the Facility for the open storeIssue New Store Announcements on the Company Portal to communicate newly opened storesSubmit Lease Tenant Allowance requests to Landlords with required legal documentation, keep track of any Landlord correspondence and payments received, notify needed department(s) if payment is not received within lease required time period, and assist with Tenant Allowance Audits.Review leases when necessary to complete Construction Tenant Allowances
Minimum Requirements/QualificationsHigh school graduate or GED equivalentAbility to handle multiple priorities in a fast-paced environmentMinimum required typing speed of 45 wpmExtensive experience in word-processing, spreadsheet and web-based software applicationsStrong business writing skills, [efficient] effective communication and interpersonal skills are a must.Excellent phone skills and solid administrative skillsDetail-oriented and able to work in a strong team environmentMust be a motivated self-starter with the ability to work independently and within a teamMust possess a high degree of organizational skills with the ability to effectively prioritize projectsMust have the ability to recognize the need for action and quickly arrive at accurate decisions.
