Job Summary:
The contract administrator will assist the Supply Chain department providing contracting administration and research support services including document review, tracking, updating, system entry of all agreements and revisions of business terms. Other responsibilities will be assisting with day-to-day supply chain duties related to capital procurement and sourcing. Customer service is the focus of this role to internal customers for sourcing and contracting practices.
Position Responsibilities:
- Review agreements and other contract documents to ensure that proposed arrangements meet Virtua Health business and operational requirements. Collaborate with Virtua Health’s Office of the General Counsel to ensure proposals are legally acceptable. Assists the manager in administrative aspects of the contract documentation.
- Obtain appropriate administrative documentation from the vendor, such as a W9s, Certificates of Insurance and other documents, as required.
- Negotiate business and operational terms with vendor to ensure Virtua’s business, financial and operational objectives are met. As needed, support negotiations between Virtua Health’s Office of General Counsel and vendor partners’ legal teams to ensure arrangements are legally acceptable.
- Support compilation of final contract and document packages, including but not limited to obtaining signatures for final execution.
- Assist with day-to-day duties, such as processing purchase orders, scanning orders, filing, returning emails and voicemails in a timely fashion.
- Populate creation of contract file, scanning of appropriate documents and maintaining the file.
- Performs other related duties as assigned.
Position Qualifications Required:
Required Experience:
· 1-2 years of procurement or contract experience.
· Excellent verbal and written communication skills.
· Understanding business / operational impact of legal language and principles.
· Excellent interpersonal and customer service skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Strong analytical and problem-solving skills.

· Ability to maintain confidentiality, and to exercise discretion and good judgment.
· Proficient with Microsoft Office, Excel and other related software programs.
· Professional acumen to interact with the Virtua’s Office of General Counsel, clinical and executive leadership of Virtua and Virtua’s vendor partners.
Required Education:
· Associate's degree from an accredited education institution. In lieu of degree, 4 years of progressive experience will be accepted.
Training /Certification /Licensure:
· Associate degree in paralegal studies or Paralegal certificate preferred. Please note that the Contract Administrator will not be performing duties as a paralegal.
