We are seeking a highly skilled, detail-oriented, and motivated Contract Administrator to join our dynamic team in a full-time, on-site role based in Los Angeles, CA. The ideal candidate will be responsible for managing project documentation, ensuring compliance with contractual obligations, and supporting the project management team in the administration of commercial and government contracts.
**Key Responsibilities:**
+ **Document Management:**
+ Receive, organize, manage, and maintain all project documentation throughout the project lifecycle, ensuring proper tracking and accessibility of files.
+ Ensure that all project records are up-to-date, accurate, and in compliance with contractual requirements.
+ Respond to records requests, preparing project files and administrative records for final closeout and retention according to project and regulatory standards.
+ **Administrative Support:**
+ Perform a broad range of administrative duties, including procurement processes, billing coordination, insurance documentation, badging, and compliance management.
+ Maintain accurate records of procurement activities, ensuring timely and efficient handling of contracts, purchase orders, and vendor agreements.
+ Oversee the preparation and processing of invoices, ensuring that they align with contractual terms and project budgets.
+ **Contract Compliance & Coordination:**
+ Work closely with the project management team to ensure compliance with client, city, state, and federal contractual terms, codes, and regulations.
+ Monitor contract performance to ensure that all parties meet their obligations and address potential issues proactively.
+ Assist in the development and negotiation of contract amendments, change orders, and other modifications as needed.
+ **Risk Management and Reporting:**
+ Identify potential risks related to contract terms, documentation, and compliance, and work with relevant teams to mitigate those risks.
+ Provide regular reports to project managers, legal teams, and senior leadership on the status of contracts, compliance issues, and any project-related documentation concerns.
+ **Closeout & Retention:**
+ Manage the closeout process of all contracts, ensuring that final documentation is submitted, approvals are obtained, and the project is ready for retention.
+ Prepare project documentation for retention in accordance with company policies and legal requirements.
**Minimum Qualifications:**
+ **Educational Requirements:**
+ Bachelor's or Master’s degree in a relevant discipline such as Architecture, Engineering, Business, or a Legal field is required.
+ **Experience:**
+ **Junior Level (0-5 years):** Up to 5 years of experience in contract administration, document control, or a related administrative role, ideally in construction or a project-based environment.
+ **Mid-Level (5-10 years):** 5 to 10 years of experience in the administration of commercial and/or government contracts, with a focus on document management, procurement, and compliance.
+ **Senior Level (15+ years):** 15+ years of experience in contract administration with a deep understanding of complex contract management, document control, and regulatory compliance, preferably in large-scale construction or government projects.
+ **Certifications:**
+ **Certifications** in document control or contract management (e.g., Certified Document Controller (CDC), Certified Professional Contracts Manager (CPCM)) are highly preferred.
+ **Technical Skills:**
+ Experience with project management software is preferred to manage and track project documentation efficiently.
+ Familiarity with contract management software and document control systems is a plus.
**Compensation:**
$30/hr-50/hr
The expected salary range for the position is displayed in accordance with the state’s law. Final agreed upon compensation is based upon individual qualifications and experience.
