Contract Administrator Remote - Cherry Hill, NJ

As part of the legal team, the Contract Administrator will be involved in all aspects of Fox's contract administration process and serve as a vital point of contact between Fox partners, the sales team, operations and billing. Duties include maintaining the contract management system, performing basic drafting and redlining, and following up on the renewal and management of existing agreements.

Responsibilities:

o Provide legal review of agreements prior to approval for signature; obtain necessary approvals for leases via sales team; send contracts for signature via DocuSign as needed

o Management of contract management system, including tagging leases appropriately for quarterly reviews, tagging all agreements that enter the system upon signature; linking amendments/addendums with master agreements; marking agreements as inactive or terminated as applicable ; adding fully executed agreements received in department emails to the system and tagging accordingly

o Follow up with sales team regarding contract renewals, terminations, and new construction leases

o Prepare reports in the contract management system for Fox team members as requested.

o Perform quarterly lease fair market value reviews in accordance with our established SOP.

o Perform basic contract drafting using templates, such as home health and hospice agreements; termination letters, etc.; implement basic redlining with routine edits

o Monitor contract inbox and department emails and respond swiftly to contract inquiries; escalate matters to sales representative and/or attorney as necessary

o Work with Finance, Sales and Operations to resolves payment issues, utilizing files and emails to settle issues

o Serve as a backup to the legal assistant with duties such as ordering Certificates of Insurance, sending memos, and sending agreements for signature via DocuSign

o Operate quickly and efficiently in an often-fast paced environment

o Collaborate closely with Sales, Operations, Finance, Strategic Billing teams

o Become proficient in the legal department’s policies and standards to assist the sales and operations teams with issuing and executing agreements that meet compliance requirements.

o Manage the entire contract lifecycle, from initiation and execution to renewal and termination processes.

o Ensure inclusion of all necessary clauses and details within contracts to protect company interests.

o Maintain a well-organized system of contract records in both Windows Explorer and the contract management system.

Requirements:

o Bachelor’s degree: paralegal background is a plus

o At least 5 years of demonstrated experience in contract administration, contract management, or a similar role

o Proven track record in crafting, evaluating, negotiating, and executing various contracts across different transactions.

o Understanding of contract law and legal principles.

o Math skills: basic arithmetic to follow formulas and determine rents and fair market values.

o Notary preferred.

o Microsoft Office

o Exceptional attention to detail and organizational abilities.

o Strong problem-solving skills.

o Ability to work independently and effectively manage time.

o Willingness and flexibility to adapt to organizational needs and business requirements.

o Comfortable with heavy database entry, including monitoring, entering, tagging and updating data daily
