Contract Coordinator, Publications

OBJECTIVES: 

Manages the financials and contracts for the Global Publications group, within Global Medical Functions. Work with Takeda stakeholders and external vendors to obtain legal contracts (MSAs, SOWs, consulting agreements), pre-review the documents, and work with legal to obtain document review and approval by using Takeda legal review systems. Opens purchase orders and manages the monthly accruals process (using Takeda financial review systems). Tracks and manages accruals monthly and yearly for all Publication activities. Assists with special projects related to finance, contracting, and other tasks including administrative reporting as needed to support the GMA Medical Functions and larger global medical affairs group. Primary support is for the Takeda global publications group with support for other GMA Medical Functions team members as necessary.

ACCOUNTABILITIES: 

Manages and processes invoices – secures invoice approvals; reviews invoices against billing schedule; processes invoices timely; tracks invoices. Works with Takeda stakeholders and external vendors to obtain legal contracts including MSAs, SOWs and consulting agreements – helps identify when and what contract is required for intended work; reviews contract language and makes edits as necessary; communicates with legal and vendors to secure appropriate, approved, and fully executed contracts; monitors billing milestones and termination dates outlined in contracts; maintains electronic filing system of contracts Opens purchase orders and manages monthly accrual process – secures appropriate documents and accurately raises carts in finance system for purchase orders; familiar and knowledgable of cost centers, Takeda entities and IO codes for POs and budgets across GMA Medical Functions Department. Maintains vendor distribution list for accrual emails; communicate with vendors and pub leads regarding monthly accruals and Takeda’s accrual policy and procedures; submit monthly accruals to finance system in timely manner; maintain Budget Tracker for internal management of accruals, invoices, and program budgets both for monthly tracking and quarterly review; answer vendor questions and concerns; works with Support Group to invite new vendors to system and manage vendors to raise POs and complete timely invoice processing Acts as a role model for Takeda´s values

EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS: 

Education: 

A Bachelor’s Degree is required.

Experience:

5+ years Book-keeping or accounting experience requiredExperience with legal and financial review and approval systemsExperience working in a highly regulated environment preferred Flexibility
