Contract Execution Coordinator (PacSci)
ROLE: Contract Execution Coordinator POSITION OVERVIEW The Contract Execution Coordinator will play a crucial role in bridging the gap between contract award and supplier purchase order execution. This position involves close collaboration with the proposals team to ensure seamless transition and execution of contracts, maintaining compliance with all regulatory requirements and company standards. KEY RESPONSIBILITIES + Collaborate with Proposals Team: Work closely with the proposals team to understand contract requirements and ensure all necessary information is gathered for successful execution. + Contract Review and Analysis: Analyze contract terms and conditions to identify key deliverables, timelines, and compliance requirements. + Supplier Coordination: Liaise with suppliers to communicate contract requirements, negotiate terms, and ensure timely delivery of goods and services. + Contract Execution: Create a visible bridge between contract award and assurance of supply. Provide timely and clear signals to the procurement team to execute purchase orders for up to 80% of contract value. + Communication: Provide continuous feedback to suppliers regarding award progress to ensure price validity & capability to execute are maintained until PO placement + Purchase Order Management: Oversee the creation of purchase orders, ensuring accuracy and alignment with contract specifications. + Compliance and Documentation: Ensure all activities comply with regulatory requirements and company policies. Maintain accurate records and documentation for audit purposes. + Issue Resolution: Address and resolve any issues or discrepancies that arise during the contract execution process. + Reporting: Provide regular updates and reports to senior management on the status of contract execution and supplier performance. + Internal Relationships: Collaborate with and maintain excellent communication with internal relationships reporting to the Director of Strategic Sourcing, Interacts with the General Managers and VPs as well as interactions with various materials & supplier quality associates (Commodity Team, Corporate Procurement, Manufacturing, Materials Management executives), Quality and Operations groups + External Relationships: Frequently communicates with suppliers to establish the appropriate understanding and ability to execute supply chain to contract requirements. + Measurements: + YoY improvement in supplier delivery. + YoY cost improvements of 5-10%. + Supplier performance OTD & Cost compliance + Ensuring contract coverage equaling/exceeding 80% of category value QUALIFICATIONS: + Education - bachelor’s degree required. Advanced business degree (e.g. MBA) beneficial + Experience – 3 to 7 years overall business experience with at least 3 years of that in manufacturing engineering, sourcing, logistics, supply chain, or procurement roles. + Experience – 5 or more years in FAR/DFAR compliant business + Teamwork - must be able to lead a number of cross functional teams in getting their respective jobs done. + Ability to Influence others - must be able to inform, convince, and persuade others to action on key initiatives of the commodity team. + Results orientation - must deliver hard dollar results. + Technical excellence - must possess the technical skills necessary to be seen as credible in FTV by peers and managers. + Effective planning, organization, and leadership skills + Excellent written & verbal communication skills + Strong analytical background including experience with tools such as Excel & Access + Ability & experience interfacing at all levels of the organization + Ability to articulate clear vision and convey a sense of urgency + Ability & willingness to work in a matrix organization with direct & indirect reporting relationships + Ability & willingness to achieve excellent results with minimal supervision + English fluency required. + Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information, influence, persuade, and respond to questions from groups of executives, managers, peers, and suppliers.
