Contract Manager

The Contract Manager plays a crucial role in vendor contract oversight and management. Their responsibilities encompass overseeing all vendor contracts at designated sites, creating & defining contract scopes, managing vendor relationships, ensuring financial adherence to contractual terms and coordinating with the account Sourcing team. The Contract Manager is responsible for owning the On-Demand process, managing the submission of On-Demand requests, obtaining necessary approvals for On-Demand services and maintaining the financial integrity of the purchase order lifecycle. This position requires a detail-oriented individual with strong organizational and communication skills to effectively manage contracts and ensure compliance with established procedures and financial guidelines.

Create and manage GM purchase order checkbooksLog all projects on On-Demand TrackerEnter quotes into the On-Demand programSubmit and track On-Demands for approvalPurchase order lifecycle managementVendor invoice approval and processingCompile and submit month-end accrualManage / assist with On-Demand projects as necessaryMonthly close-out of completed On-Demands

Contract Management

Serve as main point of contact for account Sourcing teamManage and adjust contract scope as necessaryHost vendors for site tours and equipment reviewEnsure contractual requirements are being metDeconflict issues and concerns with vendorsSCM Site Orientation process ownerSolicit bids for goods and services

Day-to-Day Responsibilities:

Corrigo work order administration and recurring work order management.E1 purchase orders creation and resolution of BTAP and GRNV issues.Compile information and submit Tomaszewski Report.Input site cost savings in Value Add / Portfolio Tracker.Create and distribute LDT & LGR Facilities Weekend Work List.Business Partner SFMEA review and submittal. Liaison between vendors and GM for SFMEA approval.JLL Variable Support and Business Partners hours-worked reporting.Meet with the Site Manager to discuss outstanding projects as appropriate. Oversight of snow removal program, coordinate snow removal planning & operations, order bulk and bagged salt and track usage.Supervise Variable Support Managers including tracking attendance, approving payroll, scheduling overtime, and conduct annual reviews.Coverage as necessary when Variable Support Managers are out of the office.Work closely with Maintenance Manager to assist in any operational issues.Ensure compliance with Jones Lang LaSalle and GM audit standards.Contract oversight and conflict resolution with all Business Partners.Owner of On-Demand process, determine scope of work, acquire quotes, submit On-Demands and issue Purchase Orders.Perform site orientation for business partners and assist with GM SCM administration & compliance.Attend and participate in all weekly and monthly GM & JLL operational meetingsCreate and submit monthly accrual for completed On-Demand projects.Support Plant events – shutdowns, awards / recognition, and VIP visitsComplete Safety Incident Reports as necessary and ensure all action items are implemented.Schedule and coordinate elevator testing and annual inspection, maintain current copies of technician licenses.   

Qualifications

A minimum of five years of industry experience required in either the corporate environment, third party service provider or as a consultant. Strong organizational, written, and verbal communication skills.Strong interpersonal and supervisory skills.Ability to interpret contract language and work effectively in a fast-paced environmentProficiency in relevant software and systems (e.g., Corrigo, E1)
