Contract Planning and Practices Advisor

The Contract Planning and Practices (CPP) Advisor is a key role within the IT Vendor Management team, responsible for providing operational and tactical support to vendor managers and, when necessary, IT contract managers. This position focuses on setting up the tools, processes, and practices necessary for ensuring proactive and effective management of IT contracts. It serves as a facilitator by centralizing information, maintaining a contractual dashboard, and planning critical activities globally, such as renewals or renegotiations. 

Your main goal will be to support VM advisors by providing them with the tools, processes, and analyses needed to maximize the efficiency of IT contract management and anticipate key actions, such as renewals and audits, while maintaining an overall view of contracts and their deadlines.
 

YOU’LL HAVE THE OPPORTUNITY TO:
 

Documentation and tools:

Create, maintain, and update standard document templates for VM advisors (contracts, SLAs, performance reports, negotiation guides).

Implement and maintain contract management tools (e.g., a contract database and a contract dashboard).

Standardize the processes related to contract management to ensure consistency in the approach.

Proactive planning:

Manage a schedule of contract deadlines, including renewal, review, and audit dates.

Anticipate the needs of VM advisors by providing deadline reports and alerts to prevent any delays or omissions.

Develop plans for renegotiation or renewal in collaboration with VM advisors.

Dashboards and reports:

Maintain a contract dashboard that centralizes key contract information (deadlines, amounts, supplier performance, risks, etc.).

Produce periodic reports on contracts to assist VM advisors in evaluating risks and opportunities, and support IT contract managers.

Contractual documentation management:

Centralize and organize contractual archives to ensure their accessibility and compliance with legal and regulatory requirements.

Ensure that contracts are aligned with internal policies and industry practices.

Support for VM advisors:

Provide an analysis of existing contracts (assessment, identification of high-risk clauses, etc.) to guide the decisions of VM advisors.

Support supplier performance review processes by providing key performance indicators and other relevant metrics.

Coordinate the interactions between VM advisors and other departments (legal, finance, IT) to facilitate contract management.

Continuous improvement:

Define and recommend enhancements to current processes and tools to increase efficiency and proactivity.

Track developments in contract management practices to align the team with market standards.
 

YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES: 
 

University degree in management, engineering, business administration, IT, or a related field.

Solid understanding of contractual terms and best practices in IT contract management (e.g., service level agreements, risk clauses, renegotiation).

Analysis and reports: Mastery of analysis and dashboard creation tools (advanced Excel, Power BI, or others).

Planning and organization: Demonstrated skill in managing complex schedules and anticipating deadlines.

Knowledge of tools: Familiarity with contract management systems or collaborative tools (Ariba, JIRA, ServiceNow, AdobeSign).

Spirit of collaboration: Ability to work closely with VM advisors, IT teams, and internal stakeholders.

Proactivity: Ability to anticipate needs and manage multiple priorities independently.

Effective communication: Ability to convey complex information clearly, especially through reports or presentations.

3 to 5 years in a role related to contract management, vendor management, project management, or in business and process analysis.

Certifications (an asset): ITIL, COBIT, or any certification in contract management (CCCM - Certified Commercial Contracts Manager).
