Contract Specialist Associate

**Overview**
The Contract Specialist Associate is responsible for negotiating, managing and maintaining low risk supply, equipment, equipment maintenance and/or standard purchased service contracts; executing evaluation/trial agreements; price activating group purchasing organization (GPO) contracts; and/or developing Furniture, Fixture and Equipment (FF&E) documentation for construction projects. Provides cost analysis and summary analysis as related to assigned work. Support Supply Chain Contracting and Fairview Purchasing Network (FPN) affiliate program.

**Responsibilities Job Description**
**Job Expectations:**
1. Negotiate, manage and maintain/renewlow risk supply, equipment, equipment maintenance and/or standard purchased service contracts.
2. Understands Business Owners requirements
3. Negotiates with vendors using approved templates
4. Identifies and documents savings and/or cost avoidance
5. Provides Contract Summary and completes contract/obtains signatures as per policy
6. Enters contract information into PeopleSoft and GPO, if applicable
7. Price activate GPO contracts.
8. Coordinates with Contract Specialist, Portfolio Manager, FPN Manager and GPO
9. Manages price activations of GPO contracts on GPO platform
10. Enters and price activates local pricing agreements on GPO platform
11. Creates PeopleSoft Contract and GPO Header
12. Informs Purchasing Control Coordinator, Distributor (when applicable), and Supply Chain stakeholders when price activation is completed
13. Update and maintain GPO roster.
14. Execute, manage and maintain evaluation/trial contracts (if assigned).
15. Coordinates with Portfolio Manager, Contract Specialist and Business Owners
16. Understands requirements of stakeholders
17. Negotiates with vendors using approved templates
18. Provides Contract Summary and completes agreement/obtains signatures as per policy
19. Enters contract information into PeopleSoft /
20. Develop FFE documentation for Construction Projects (if assigned).
21. Create FFE document from established template and standards
22. Source equipment and related
23. Request proposals and pricing
24. Provide current pricing for project budgeting
25. Obtain quotes for equipment ordering
26. Approve equipment requisitions in PeopleSoft
27. Support FPN program manager and members, if assigned.
28. Price activateGPO contracts.
29. Answer questions related to GPO contracts and/or help find appropriate resources.
30. Maintain membership roster with GPO (e.g., updating addresses, adding new members, etc.).
31. Engage with distributors, suppliers, or GPO to resolve pricing disputes or contracting concerns on behalf of members, as needed.
32. Creating supplying ad-hoc reporting to members, suppliers, and/or distributors.
33. Assist in planning bi-monthly calls and semi-annual meetings.
34. Support Supply Chain Contracting Team.
35. Attend vendor business reviews.
36. Work with distributor(s) and GPO liaison to ensure contract pricing is correct.
37. Execute contract amendments and renewals due to backlog.
38. Provide back-up/field questions related to contracts and/or help find appropriate resources when Contract Specialist are out.
