Contract Support Specialist
Overview Colliers Engineering & Design is seeking a Contract Support Specialist to join the Miami, FL office. This Contract Support Specialist with guidance from the Discipline Leader, performs duties in support of project priorities, schedules, and client requirements. This role can assist with training other administrative and project management personnel and support higher level management. May be called upon to perform billable project work and handle confidential administrative duties. Responsibilities + Perform specific tasks in support of multiple concurrent projects with guidance. + Prepare, manage, and track project related documents such as agreements, correspondence, deliverables, insurance, submittal logs, RFI Logs, site visit schedules, etc. + Create, edit, finalize, Proof-reading drafts, and distribute letters, memos, correspondence, transmittals, project trackers, applications, reports and other materials. + Follow up with internal team members on open/overdue items. + Prepare, submit, track, and act upon budget authorization requests within client(s) project management system(s) as directed. + Assist in the creation and maintenance of project files, including both electronic and hard copies. This may include scanning, mailing, and filing documents. + Track correspondence between project manager and various outside parties to ensure timely responses, responding on behalf of project manager as appropriate. + Effectively communicate and coordinate with internal team members, outside parties, and client(s) to advance projects. + Prepare and review memos, reports and other project documents as directed. + Understand the company's services, operations, and organizational structure. + Additional projects as directed by the Discipline Leader or Partner/Principal of the firm. + Additional projects as directed by the Project Services Manager or Project Manager. + Ability to travel based on client or project needs. + Additional tasks as directed. + Act as a liaison with Corporate Services. + Assistance with proposal preparation and submittal. Assist with marketing and graphics design efforts. + Generate and review project setups and invoices for project managers. + Complete BST, Concur, Ironclad and Unanet tasks (contract management, timesheets, expenses, project initiation, etc.) as assigned. + FDOT experience a plus. + Use, and enforce use of, Colliers Engineering & Design standards with all staff, including proper file structure, use of templates, file naming conventions, etc. Qualifications + Associate Degree from an accredited institution or equivalent in education and experience. + 5+ years of related experience. + Notary public preferred. + Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
