Medical device company based in Santa Clara, CA has an immediate opening for a part-time Contracts Administrator. As a Contracts Administrator, you will be tasked with overseeing and managing distributor contracts, providing guidance to the sales team, and working closely with legal and customer service departments. This role involves a significant amount of detail-oriented work, as you will be responsible for drafting contracts, amending them as necessary, and following up with distributors for signatures. This position is 20 hours per week and requires hybrid work on-site in Santa Clara, CA. The ideal candidate will have 5+ years of contract administration experience.
Responsibilities
• Oversee and manage distributor contracts, including both exclusive and non-exclusive agreements
• Provide guidance to the sales team regarding the setup and variations of contracts
• Draft contracts in collaboration with the legal department
• Amend contracts as necessary, ensuring compliance with legal requirements
• Coordinate with the customer service department to provide distributor updates
• Follow up with distributors to secure contract signatures in a timely manner
• Ensure detailed and organized record keeping in the absence of automated systems
• Exhibit excellent people skills in close collaboration with the sales team
• Assist with the hectic month-end process to ensure all contracts are signed and closed.
Requirements
Qualifications:
• Minimum of 5 years of experience in a Contracts Administrator role
• Proven ability to manage and process contracts with accuracy and timeliness
• Prior expertise in ensuring compliance with relevant healthcare regulations, standards, and practices is a plus but not required
• Exceptional organizational and administrative skills, with an ability to manage multiple contracts simultaneously
• Experience in utilizing contract management software and systems such as Salesforce
• Strong written and verbal communication skills to effectively liaise with internal and external stakeholders
• Detail-oriented mindset, ensuring all contract details are accurately recorded and maintained
• Ability to work under pressure and meet tight deadlines without compromising the quality of work
