Job Description

Job Purpose:

The Coordinator, Communications will handle administrative duties and assist in supporting the series publicity team on day-to-day activities of campaigns as well as supporting the SVP of Communications for the Universal Studio Group division.  This position is based in the Universal City, CA offices.

Essential Responsibilities:

Function as administrative liaison to departmental staff, external vendors and consultantsAnswer telephones and perform administrative duties such as calendar scheduling, booking travel, drafting itineraries, processing invoices, preparing expense reports, reconciling p-cards, among othersMaintain/update press contact database and additional internal listsPrepare internal and external distributions and correspondenceMaintain/update our press site, Media VillageHelps with the onboarding process for any new members of the Communications teamPrepare programming team calendarsSupport Communications team on series campaigns as neededAssist with talent relations needs including booking travel, booking hair/make-up, drafting itineraries, internal and external gifting, amongst othersMaintain standards of strict confidentiality with respect to all matters and documentsMaintain series team budget trackerAssist publicists with tracking press coverage and maintaining show press reportsMaintain series team status documentAssist publicists with show sheets including update talent information along with their representativesWork and facilitate press events including semi-annual press tours, award shows, specials and eventsDevelop and maintain positive relationships with talent, producers, public relations agencies and representatives, agents, managers, production staff, media and programming executives in order to ensure maximum positive coverage for Universal Studio Group programming

Qualifications

Basic Requirements:

Minimum 1 year public relations experience, including internshipsWorking knowledge of Microsoft Office (i.e. Word, Excel, PowerPoint, Outlook)

Bachelor’s degreePositive attitude with a passion and desire to learn entertainment publicityAbility to multitask and juggle multiple projects while remaining cool under pressureDetail-orientedProactive with an eagerness to learn and take on new tasks

Additional Requirements:

Willingness to travel and work overtime, and on weekends with short noticeMust be willing to work in Universal City, CaliforniaMust have work authorization to work in the United StatesHybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week

Salary range: $50,000-$60,000
