Status: Non Exempt; Full Time (S2/B2)

Start Date: Immediate

Salary Range*: $52,000 - $57,000

Facing History & Ourselves is a global education non-profit organization that challenges teachers and students to use lessons of history to stand up to bigotry and hate.

The Coordinator, Event Services joins a veteran team of 4 that focuses on producing engaging and efficient virtual and in-person events for multiple audiences. The Coordinator will be tasked to provide holistic and robust support for all org-wide and regional fundraising and community events, as well as the operational processes overseen by the Events Team. This includes administrative support for the intake and calendaring processes and support advancing print and digital event marketing and communications workflows, in collaboration with the Marketing and Communications and Digital Operations teams.

It is the expectation for all members of the HQ Events Team that in-person, on-site events work will be expected and assigned to staff on a case by case basis. Some travel may be required.

Events Team Operational and Day to Day Business Coordination (50%)

Support Org-Wide Event Calendaring and Scheduling process by coordinating maintenance of the Org-Wide Event Calendar resource. This includes ensuring data integrity, timely updates, and editing/formatting training materials related to this resource.

Support Team’s Intake Process as assigned; including monitoring intake submissions, scheduling intake meetings and managing intake related tasks and follow-up communication in Click-Up.

Assist with calendaring and Zoom meeting management of all Events Team meetings as well as regional calls and cross-functional meetings run by Event Team members. This includes but is not limited to scheduling and circulating of agendas and meeting minutes.

Maintain the Events Team Google Drive structure ensuring file and folder hierarchy is organized to meet team standards and needs and naming conventions are followed for all documents and folders.

As assigned by either the Director, Event Strategy and Operations or the Associate Director, Events Services, assist with special projects and assignments.

Direct Event Services Support (50%)

Event Marketing, Communications, and Design: Under the direction of the Assoc. Dir, Event Services, assist with the management and execution of event marketing and communications workflows, including collateral design and maintenance and printer/mail house coordination. Supports project management of this work by providing task maintenance in Click-Up and communicating with stakeholders as assigned.

Event Related Digital Content Support: Under the direction of the Assoc. Dir, Event Services, helps facilitate event webpage updates and supports the management of digital event assets including event recording and images. Supports project management of this work by providing task maintenance in Click-Up and communicating with stakeholders as assigned.

Virtual Event Support: Assisting with copy-editing and formatting of virtual event communication plans, staff memos, and email templates, post-event support for data reconciliation workflows, and coordination of technical support and day-of support as needed

Essential Skills / Qualities:

Minimum of 1-2 years of experience with virtual and in person event planning and office work environment, ideally with experience in calendaring and meeting management

Experience successfully working remotely strongly preferred

Effective interpersonal and relationship building skills; Able to work with people at all levels of an organization and successfully build relationships virtually

Strong Project Management skills and ability to manage multiple projects and shifts priorities as needed, experience with ClickUp a plus

Exceptional organizational skills with strong attention to detail a must

Excellent communication, writing, and editing skills

Strong graphic design skills, experience with Canva is a plus

Creativity, communication, collaboration, and teamwork are key in this role

Willingness to pitch in as needed at all phases in the event planning and execution process to ensure success of events that further the mission of Facing History & Ourselves

Ability to work individually and as a member of a team; flexibility

Leads by example and models behaviors that are consistent with the company's values.

Excellent computer skills, including experience with Google Suite and Microsoft Office Suite
