Summary

The role of the Coordinator, Field Operations is responsible for assisting with the day-to-day operational needs of the department including developing purchase orders for material on a daily basis. This position is responsible for providing administrative and clerical support to the Construction & Maintenance and Distribution Departments.

Duties and Responsibilities Enter into IProcurement request for Purchase Order numbers for material needed in the field on a daily basis, including concrete, rock, paving, topsoil, straw, sod, welding supplies, x-ray invoices, spoils disposal, ice and any misc. invoices from the Field Operations. Place orders with outside vendors: communicating the Purchase Order number, confirming delivery information, billing prices, etc. Once material is delivered, responsible for Receiving the product into IProcurement to ensure accurate and prompt payment for vendor invoices. Compile and issue Fostaire helicopter line patrol report on a weekly and monthly basis. Prepare and submit billing information related to the line patrols. Compile and update the OFF HOUR SCHEDULE on a weekly basis. Maintain and update HVL Line Emergency contacts. Maintain and update Disaster Response Plan Emergency contacts. Responsible for all non-union C&M training files. Hold title of Records Coordinator for the Field Operations Department, responsible for updating the department with RIM procedures and policies. Hold title of Floor Communications Captain and Floor Move Captain. Serves as backup to the Workload Planning Schedulers when needed. Assist in the database management for the Operations Supports including the Equipment Training database. Serves as the contact person for C&M personnel to assist with purchase order creation when necessary. Perform administrative duties for the department including initiating correspondence, maintaining files and records, ordering office supplies. All other duties as assigned. Required Education (certifications, licenses)  High school diploma or the equivalent, required.  Required knowledge, skill and abilities Three or more years related experience and/or training. Proficient with Microsoft Outlook, Microsoft Word, Microsoft Excel, PowerPoint, CC&B, Maximo, G4. Knowledge of administrative, clerical and office procedures. Ability to use general office equipment. Ability to use general and specialized computer applications to manage information. Ability to read, write and interpret work related documents. Ability to apply common sense understanding to carry out detailed procedures. Ability to establish and maintain effective working relationships with customers, co-workers and supervisors.
