Job Description
 

Coordinator, Inclusion & Diversity

The Coordinator, Inclusion & Diversity, plays a key role in ensuring that we realize this ambition by supporting high-impact projects, managing key communication platforms, and assisting in the execution of inclusion and diversity (I&D) initiatives across the company. 

 

This role reports to the Global Head of Inclusion & Diversity and is based in Foster City, California. 

 

Key Responsibilities: 

Support Disability Inclusion Strategy: Collaborate with the disability inclusion project team to support key initiatives and projects. 

Meeting and Event Coordination: Assist with the scheduling and coordination of project-related meetings and events, including meetings with stakeholders and external partners. Provide logistical support as needed. 

Internal Communication and Content Management: Create and manage engaging content for internal communication channels. Assist with developing and maintaining materials, drafting internal memos, and creating presentations for meetings.  Maintain the internal I&D and Disability G.Net intranet sites and Viva Engage pages. 

Survey Design and Analysis: Lead the design, execution, and analysis of surveys related to I&D partnerships and sponsorships. 

Project Management Support: Provide administrative and project management support to the I&D Team as needed, ensuring the successful execution of key initiatives. 

Disability ERG Page Maintenance: Support the launch and maintenance of the Disability Employee Resource Group page on the company website. 

Year-End Disability Event Support: Assist in the planning and coordination of the year-end Disability event, ensuring smooth execution. 

Contract Management: Coordinate the contracting process, including the creation and execution of Master Services Agreements (MSAs), working with the project team, legal, and procurement teams. Manage invoicing processes, create purchase orders (POs), track and process invoices, and work with vendors and accounts payable to resolve any issues. 

 

Experience: 

Bachelors degree with 4+ years of experience, or Masters Degree with 2+ years of experience. 

Ability to work both independently and collaboratively as part of a team. 

Pharmaceutical or biotech industry preferred.   

Experience in engaging with and communicating to a wide range of stakeholders. 

Excellent verbal, written, and interpersonal communication skills. 

Knowledge of contract management processes (e.g., MSAs, POs, invoicing) and strong analytical skills. 

Strong organizational skills and ability to manage complex projects. 

Proactive problem-solving skills, a passion for learning, with the ability to identify issues and seek solutions. 

 

Leadership Capabilities: 

Demonstrated ability to build relationships, adapting quickly to change and operating in ambiguous environment. 

Strong time management skills, highly organized and detail oriented. 

Ability leverage data and insights. 

Strong experience in fostering relationships, seeking diverse perspectives, experiences, and insight.  

Has a patient-centric approach and embeds this mindset into practice. 

Strong communication and relationship-building skills. 

Proactively seeks and acts on feedback.

The salary range for this position is: $107,270.00 - $138,820.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
