DESCRIPTION: 

This position requires a high degree of professionalism and customer service, complemented by strong attention to detail and communication capabilities in dealing with internal and external customers. The successful candidate must understand and emulate Brookfield’s Commitment to Outstanding Service by providing this high level of service to all internal and external clients, over the phone and in person.

As an essential member of the regional Marketing, Arts & Events team, you will work collaboratively to support regional and corporate initiatives including office leasing strategies, art installations, event programming, marketing campaigns, branding strategies and other projects as required.

Undertaking a regional perspective and working closely as a team, the Marketing, Arts & Events Coordinator will ensure timely corporate or national branding/marketing within the region and adapt regional campaigns to be effective within any corporate or national criteria.

The Marketing, Arts & Events team will be a regional resource and will work closely with all Calgary properties to provide guidance and vision for yearly marketing strategy and events, pursuing opportunities to augment tactics, collateral and consistency across all properties and seeking opportunities to share and replicate events at various sites. Work closely with the property management teams to execute initiatives within the approved business plan budget on time and on budget, working with agencies as required but always seeking to find efficiencies and economies of scale.

This regional team is responsible for generating, brainstorming, creating, and executing the yearly marketing strategy and events calendar with buy-in from the property teams. This team is also responsible for planning, supporting, and contributing to the success of internal Brookfield corporate events including quarterly, social, charity and company events. Providing support and additional resources for the office and retail leasing marketing as needed.

The Coordinator, Marketing, Arts & Events will play a key role in developing and overseeing the execution of events and marketing strategies to support all Calgary properties and support their respective objectives with a regional perspective.

RESPONSIBILITIES:

Key responsibilities include but are not limited to:

Integrated Marketing Strategy

Assist in the design/creation and production of marketing materials, both print and digital.

In keeping with the new Brookfield Properties brand guidelines, ensure a consistent style of messaging, imagery, and communication to internal and external parties across the region. Generate digital marketing opportunities and strategies across all property sites, liaising with agency and property teams.

Update and maintain collateral for digital screens with ongoing campaigns and collateral.

Seek opportunities to develop regional strategies for the use of placemaking, events and cross-marketing Brookfield Properties across the Calgary properties.

Collaborate with the national team to receive and implement collateral for national initiatives.

Creating copy and capturing content about events and programs happening throughout the Calgary region to be shared with our National Team for Brookfield’s Intranet.

Actively participate in weekly and bi-weekly Marketing Meetings, taking meeting notes and assisting in preparing presentations.

Capturing and creating exciting content throughout our properties to be shared on social channels.

Assisting in the creation of a social media posting schedule.

Contribute new and exciting ideas that appeal to the market and our tenants.

Create and distribute the monthly Social & Culture Committee newsletter. This includes communicating and gathering information from various committees and teams throughout the region, as well as researching events and programs happening throughout the city.

Assist in the selection of promotional items for tenant and building distribution and coordinate volunteers to implement the distribution.

Event and Campaign Planning & Execution

Work collaboratively with the Marketing, Arts & Events, Executive Leadership, and Property Management team to execute corporate events, regional marketing campaigns and strategies.

Proactively contribute and assist in research, planning and execution of regional marketing campaigns and events.

Capture on-site event content to be shared and stored in our internal database.

Create campaign and event debrief documents and presentations.

Communicate and coordinate with various departments to ensure Brookfield’s level of excellence is provided to all event hosts and to ensure effective team participation in event set-up, execution, and strike-down.

Assist in the design/creation of invitations and track RSVPs for various events, recruit and coordinate volunteers as needed and oversee volunteer orientation sessions for various events.

Utilize and update procedures for events, identifying areas of opportunity and efficiency.

Contribute to and maintain the regional Arts and Events calendar.

Cross-Property Regional and Strategic Coordination

Work closely with all properties to share best practices and events across the region. Assist the team in generating ideas and execution considerations on any installation or event that creates vibrancy in our shared spaces (e.g. holiday décor, public events, performances etc.).

Seek to find opportunities to replicate events or offer simultaneous events or installations by adjusting the scale to be appropriate for space and property.

As a team, work with the properties, leasing, and development as necessary to proactively develop general plans considering the future state. Engage with stakeholders to secure buy-in for future initiatives.

Vendor Sourcing and Management

Develop and maintain a database of vendors, artists and partners.

Connect with partner organizations to identify areas of opportunity to collaborate and create unique initiatives and programming.

Source, communicate and manage vendors (entertainment, décor, catering, etc.), working closely with them to ensure all event requirements are met (certificates of insurance, setting them up for payment, etc.).

Administrative and Other

Organize and manage project folders, ensuring budgets and paperwork are updated.

Complete required administrative documents (including PAUA, Permits, signage, event checklists, etc.) and distribute them as necessary to stakeholder teams.

Track invoicing and payments while working within budget constraints.

Responsible for working on multiple projects simultaneously with little to no supervision.

Other assistance where required.

QUALIFICATIONS

SERVICE / PERSONAL SKILLS

The successful candidate must be flexible to work some evenings, weekends, and holidays related to the rollout of promotions and special events.

Prior working experience in customer service, hospitality, marketing, media, events, and communications

Strong written and verbal communication skills

Exceptional copywriting, proofreading and attention to detail

Positive and professional demeanour

Outstanding customer service skills

Excellent organizing, prioritizing and time management skills

Passion for creating experiences and bringing forward new ideas

Ability to multi-task and work independently with little supervision, handling multiple projects and meeting deadlines

Excellent interpersonal skills with ability to communicate effectively at all levels of the organization


EXPERIENCE & TECHNICAL SKILLS:

Minimum three (3) years related work experience working in an administrative role in customer service, hospitality, marketing, events, and/or communications

Experience in event planning involving coordination and implementation

Exposure to Commercial Real Estate/Property Management/Retail field is considered an asset

Advanced proficiency in MS Word, Excel, Outlook, and PowerPoint

Experience in creating marketing collateral using creative platforms such as Canva

Proficiency in Adobe Suite is considered an asset

EDUCATION / DESIGNATIONS / LICENSES:

Post-secondary education and/or equivalent work experience is required

Certificate in Marketing and/or Event Management is considered an asset
