Job Vacancy Announcement Position Information Position Title Coordinator, Printing & Mailing Services Position Type Department AUXILIARY SRVS AND EVENT MGMT FLSA Non-Exempt Union/Non Union Non Union Full Time or Part Time Full Time Grade 12 Salary Range Hiring Salary Range $56,316-$61,947/Annually Fixed Term/Tenure Track (Faculty Only) Regular or Temporary Regular Job Description Summary The position will provide customer service at the desk and facilitate all incoming and outgoing mail and package shipping/receiving with multiple service providers. The position also coordinates internal print projects for campus constituents including administrative offices, faculty, and student groups. Responsible for producing print jobs, maintaining printing equipment, managing and supervising print shop and mail room staff in the absence of the manager. Minimum Qualifications EDUCATION AND EXPERIENCE Associates degree or equivalent formal training certification in related field. Three years of job experience in offset and/or digital printing. ESSENTIAL DUTIES Coordinate Print Services including intake, production, and distribution of jobs as requested by faculty, staff, and students, within expected timelines. Receive and process all incoming and outgoing mail in compliance with all regulatory and business requirements. Includes daily, bulk, ad hoc, and time-sensitive mailings. Answer the main and internal phone lines in a prompt, professional, and friendly manner; route calls and answer routine questions; greet and check in all guest and visitors following established safety and security guidelines; report any safety issues or concerns immediately. Undertake and complete special projects and other assignments at the request of the director or the dean. Facilitate daily /weekly inter-campus and extension centers mail shuttle with delivery staff. Maintain the mail and production rooms and shared workstations in a clean and orderly manner. Draft, maintain and use operating instructions and tools needed to support department activities and ensure compliance with all regulations Supervises and evaluates Mail Clerk, Delivery Driver Mail Clerk and all assigned printing and mailing staff. Assist with new hire training by having new hires shadow and observe, in accordance with training guidelines and protocols. Attend and actively participate in daily, weekly, and monthly department meetings, trainings, and coaching sessions. Identify issues, trends, and opportunities to improve efficiency and/or quality, or to better assist departments, as well as general departmental questions/concerns; report relevant information to management. Maintains up-to-date knowledge of all software and digital equipment under the printing and mailing centers control Maintains supplies for the printing and mailing center, including all copier supplies under contract Performs maintenance on equipment. Performs related work as required. KNOWLEDGE, SKILLS AND ABILITIES Extensive knowledge in the production of offset and digital print jobs Knowledge of papers and grain directions Knowledge of using folding machines, cutters, drills, collators, copiers and printing equipment Knowledgeable of USPO postal regulations and mail handling to ensure timeless of delivery to and from the campus Ability to communicate well with the college community and peers Flexibility and the ability to think independently are essential as is the willingness to perform physical work such as carrying and delivering mail/print products and services to extension centers due to the broad nature of this function, coordinators work in a fast-paced, stressful environment filled with unexpected interruptions and challenges Job Requirements PHYSICAL REQUIREMENTSMust have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. Significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.
OTHER REQUIREMENTS Able to lift 50 lbs. or more. Ability to communicate effectively in spoken and written standard English.
