Toll Brothers, America's Leading Builder of Luxury Homes, seeks a Coordinator, Purchasing Shared Services for our team at our Corporate office in Fort Washington, Pennsylvania. 

 

What is the opportunity?

 

The Coordinator, Shared Services is responsible for supporting Division Purchasing efforts with administrative processes and activities. The Shared Service Center provides contracting support to facilitate consistent, company-wide use of EnterpriseOne (E1) and efficiencies in purchasing processes, including opportunities for contracting to be streamlined and improved. This role provides business related support through the generation of bidding spreadsheets, bid data loading, and contract documentation processing and management.

 

What are the primary responsibilities?

Focus on consistent, enterprise-wide setup, to reduce maintenance and troubleshootingPrepare contracting documentation and provide administrative support:
Master construction agreements, scopes of work, bid contract confirmation documentsLoad trade partner bid data, takeoffs, and Division/community Supplier AssignmentsProcess contract changes and updates to purchase orders to ensure cost and trade partner accuracyProvide validation reporting to Division Purchasing teams to confirm data accuracyProcess contracting documentation through DocuSign for signature by trade partner and TollStore all contract and supporting bid documentation per current national guidance (e.g. FEITH, SharePoint, etc.)Responsible for Lot Start and Commitment Generation process to provide accurate purchase orders to trade partners
Review tasks in the Lot Start Workfile for accuracy in quantity, pricing, trade partner assignmentNotify Division Purchasing team of missing/incorrect information to proactively maintain complete and accurate bid dataConfirm data successfully integrates with Production BuildPro softwarePartner with Division Purchasing teams to troubleshoot and resolve data errorsResearch and provide information on trade partner payment inquiries; interface with Accounting as neededEnsure vendor insurance information is current and accurate
Notify trade partners of impending insurance expiration, including instructions on how to provide updated insurance certificates

Essential: High School Diploma or equivalent1+ years of experience processing subcontractor agreements for residential construction companies or contractors or similarWorking knowledge of Microsoft Office programs, specifically Excel, and aptitude to learn new software programs (e.g. EnterpriseOne and BuildPro)Preferred: Associate degree, equivalent Vocational or Technical Certification ExperienceExperience with EnterpriseOne (E1) Homebuilder Sales Solution (HBSS)Experience with Hyphen Solutions BuildPro software
