The Coordinator, Veterinary Services is responsible for coordinating medical care for animals housed at the R&R Center and for providing administrative support to the veterinary services team. The individual in this role schedules animals for on-site and off-site medical appointments, liaising with ASPCA partners in NYC and local specialty veterinarians to provide timely and efficient services as requested by the ASPCA’s veterinarians.
The successful candidate for this role is a clear, strong, and collaborative communicator with meticulous attention to detail and record keeping.
Recovery & Rehabilitation Center Overview & Upcoming Launch
The R&R Center in Pawling, NY, is a unique program dedicated to providing integrated sheltering, behavioral, and medical care for canine victims of cruelty. The R&R Center team works closely with ASPCA teams in New York City to help animals rescued in partnership with the NYPD.
This position has a target start date of 6/2/2025.

Functional Duties (50%)
Exemplifies high quality, compassionate care, low-stress handling, and cross team collaboration
Maintains excellent working knowledge of veterinary medical terminology and protocols
Regularly audits medical needs of the population, identifying upcoming exams, follow-ups, and procedures
Works with the Manager, Veterinary Services Staff to schedule on-site medical procedures effectively and efficiently
Maintains a clear line of communication with R&R Center veterinarians, asking clarifying questions and ensuring clear understanding when communicating with off-site veterinarians
Develops and maintains strong relationships with veterinary specialists, establishing mutual trust and respect
Develops and maintains strong relationships with the ASPCA’s medical teams in NYC, establishing mutual trust and respect
Communicates openly and effectively with operations and behavior team members to ensure pre-sedation water, feeding, and medication restrictions or requirements are clear and carried out
Hangs appropriate kennel signage to alert all staff to pre- and post-sedation feeding, handling, and activity restrictions or requirements
Communicates special dietary needs and prescription diets across teams
Maintains updated master list of animals on special or prescription diets, medications, or that have activity restrictions/requirements that is accessible to all staff at all times
Gathers and shares information about each animal’s handling requirements prior to the animal being seen by on-site or off-site veterinarians whenever possible
Schedules off-site complex or specialty medical procedures with internal and external partners
Collaborates with the Coordinator, Transport on safe transfer of the animal for medical care, sharing driving duties as needed
Arranges off-site handling assistance from the behavior team when needed
Communicates openly with colleagues in other areas, sharing medical, behavioral, and environmental observations clearly, using objective language
Serve as additional communicator between the veterinary team and non-medical staff, volunteers and fosters, explaining the medical condition of animals in clear, easy to understand terms
Assists with humane euthanasia as needed
Operational and Administrative Duties (50%)
Assists in the creation and maintenance of animal medical records, including forensic records
Enters veterinary exam notes and documentation throughout the day, ensuring records are updated as quickly as possible
Collects, organizes, scans, uploads and files weekly treatment sheets as scheduled to maintain up to date medical records
Organizes, documents, and uploads external veterinary records, lab results, and imaging as they arrive
Provides administrative support and coordination of new case preparation, including scanning and linking records from veterinary partners, and communicating kennel set ups to the Care & Enrichment Technicians
Assists in printing labels for medications and hanging appropriate medical signage for staff
Maintains chain of custody and follows procedures and protocols for forensic evidence storage, transfer, and disposition
Represents the Veterinary Team on cross-team daily rounds, collaborating with behavioral and sheltering colleagues to ensure the welfare of every animal in care
Collaborates with those carrying out animal transfers to ensure all pertinent records are sent
Attend and meaningfully contribute to all relevant R&R Center and ASPCA meetings
Accurately track and report time worked, time off, and work-related expenses
Responsibly steward R&R Center assets

Requirements
Education and Work Experience
High School Diploma or GED required
Minimum of 2 years of experience working in a veterinary setting
Strong understanding of veterinary medical terminology required
Animal shelter experience preferred
Fear Free® Veterinary certification (approximately 9 hours) required or completed within 60 days or hire
Qualifications
Valid driver’s license and ability to pass a motor vehicle history check demonstrating safe driving
Ability and willingness to travel up to 10% of the time
Able to work a flexible schedule, including days, evenings, weekends, and holidays
Fluent in the use of MS Word, Excel, PowerPoint; familiarity with shelter software systems or Salesforce a plus
Excellent written and oral communication skills
Able to regularly witness animals suffering medically and/or behaviorally
Comfortable with humane euthanasia in theory and in practice

Compensation and Benefits:
Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future.
