This part-time position involves performing skilled work related to reproducing printed materials and handling mail distribution for all departments. The incumbent provides support to the full-time Copy/Print Specialist. The role entails interacting with other city employees and occasionally with external agencies for information related to photocopying, producing printed outreach and other city communication materials, and mailing procedures. The incumbent's work follows established routines, policies, and procedures, and is supervised by the Director of Communication and directly reports to the full-time Copy/Print Specialist.
Essential Job FunctionsOperates high-speed copier to reproduce printed materials that are received through Graphics and Printing requisitions. These jobs range from small, simple tasks to large complex jobs such as the Mayor and Council meeting brief books and other commission meeting brief books. Receives and processes electronic files as well as hard-copy documents to duplicate and adjust as needed for desired printing outcome. Handles trimming, bindery, and folding of all printed and copied materials that are requested by departments and received through Graphic and Printing requisitions.Picks up and delivers inventory of paper and copier supplies or copiers managed by the PIO Division.Prepares materials to be put in envelopes to be mailed using postal procedures and protocol for first, second, and third-class mailings and certified, express, and registered mail.Collects and weighs mail through the postage machine to prepare the mail for delivery to the Post Office daily. Delivers and picks up packages, mail, and interoffice mail to all city facilities.Cross-training to be the backup and fill-in for the full-time Copy/Print Specialist during their time off, including sick and vacation leave.Provide additional support to the full-time Copy/Print Specialist as needed.
QualificationsHigh school diploma; and two (2) years of progressively responsible work in an office environment; experience and training in handling/maintaining copiers and understanding of postal regulations a plus; or any equivalent combination of education and experience.
Special Qualifications
:Knowledge of XEROX copying machines and computer technology is preferred.
Knowledge of the maintenance and operation of high-speed copiers.Knowledge of clerical requirements and procedures and U.S.mail and postage procedures and requirements.Ability to plan and schedule work.Have a valid driver's license and the ability to operate a passenger car safely.Ability to establish and maintain effective working relationships with other employees.Ability to learn within a reasonable time City cleric procedures, the location and functions of the several offices and officials, and the personnel names.Ability to keep records, to make simple arithmetical computations, and to write legibly.Ability to understand and follow oral and written instructions.
