COPY - Executive Special Assistant
Job Responsibilities:
Serves as a primary point of contact to the Executive Officer for the clients, staff, federal agencies,
universities, foundations, congressional offices, and the public.
Implements administrative functions for the Executive Office. Keeps the Executive Officer fully
informed of current conditions throughout the organization and takes appropriate action to ensure
that administrative activities are properly implemented to support its mission.
Provides administrative and technical support, compiling and preparing information and
documentation, and assisting in making logistical arrangements as required for meetings and
conferences. Analyzes the material gathered, develops constructive recommendations, and
synthesizes the data into reports or briefings.
Monitors the status of sensitive issues, special concerns, and projects for the office. As required,
ensures staff members are alerted to established timeframes or milestones. Keeps Executive Officer
informed of potential problem areas.
Analyzes organizational programs and activities through review of reports initiated by the staff,
recommendations from subordinate echelons, etc., and initiates or recommends action to correct
problems and improve programs. Evaluates, processes, and makes recommendations for effective
organizational changes.
As Special Assistant, coordinates with representatives of the IC and the NIH on matters of interest to
the office.
Attends meetings, notes commitments made, informs staff of commitments, and arranges for staff to
follow through on implementation. Arranges meeting space, speakers, and support details for large
conferences.
Review content for public websites and monitor for currency and accuracy of information; provide
feedback to point person for website.
Gather and analyze information about processes and programs; prepare reports, letters, and other
documents for review and input for programs, policies, and activities.
Arrange and prepare a variety of documents, such as travel requests, professional service orders,
requests for sponsored travel (Form 348), outside activities (Form 520), official duty memoranda,
training requests, individual/mass mailings, correspondence, and reports.
Update and maintain the calendar for the Executive Officer and senior staff; prepare agendas,
communicate with interested parties, and provide materials and overall support for all scheduled
meetings; arrange for representation to events on behalf of the Executive Officer for meetings they
are unable to attend.
Relay requests for action or information to appropriate staff in a timely matter during the absence of
executive level staff.
Maintain various administrative databases; track and analyze data; prepare summaries and reports.
