ESSENTIAL DUTIES AND RESPONSIBILITIES:\n
\n

Receptionist:\n\nAnswering and correctly routing calls and taking messages.\nGreeting and assisting visitors in a professional and courteous manner.\nMaintaining visitor logs and entering guests in the building security system.\nCoordinating internal and external meetings by reserving conference rooms and proactively managing the conference room schedules.\nWorking in conjunction with the Cleaning Associate and Facilities Manager to prepare, organize, and maintain the cleanliness of conference rooms before and after meetings.\n\n

Administration\n\nManaging administrative requests and the adminrequests@adyne.com email and responding to requests timely.\nFiling, scanning, copying, printing, collating, and binding presentations\/materials.\nManaging the Iron Mountain relationship and reviewing the monthly invoices.\nServing as the primary point of contact for employees visiting from other offices and ensuring that they are fully set up when they arrive in New York (arranging building guest passes, knowing workstation locations, etc.)\nPerforming back up coverage of certain facilities duties during PTO, such as coordinating office catering and managing the Cleaning Associate.\nProviding weekly updates to managers on all administrative operations and escalating issues, as necessary.\nOther ad hoc duties as assigned.\n\n

Qualifications:\n\nAt least three year Office Experience.\n1-3 years experience with Microsoft Office Software (Word, Excel, Outlook).\nGood with mathematics and detailed oriented.\nStrong work ethic; diplomatic; team and service oriented; builds strong working relationships. Exhibits superior verbal communication and phone skills.\nExhibits exceptional customer service skills.\nConsistently demonstrates professional demeanor, appearance and attitude.\nProven ability to remain calm under pressure; resilient.\nSound judgment and problem-solving ability.\nAble to appropriately handle confidential and highly sensitive material.\nDemonstrated ability to be flexible and adapt to an ever-changing work environment.\nAssertive and resourceful; motivated; willing to ask questions and take initiative without direction.\n
