Correspondence Specialist

Position:Correspondence Specialist

Position Summary:Responsible for daily review and routing of all inbound member and provider correspondence received via the postal service. Focuses on classifying and sorting of both physical and electronic letters, to ensure that they are routed to the proper departments within the organization in a timely manner.

Job Description:

Primary Responsibilities

Sorts and classifies inbound electronic letter files from outsourced mail room. Scans and keys vendor.Understands all forms and types of correspondence received so that documents can be properly classified with the appropriate metadata.Utilizes knowledge of Centers for Medicare and Medicaid Services requirements of processing times by document type to prioritize efforts accordingly.Provides post-scan quality assurance to ensure batches are complete, accurate, and of a high quality.Transcribes pertinent member data from time sensitive documents into electronic databases.Sorts, scans, and routes physical incoming mail.Handles time-sensitive material including confidential documents, urgent packages, and returned mail.Interfaces with various departments to troubleshoot mis-routed mail and resolve miscellaneous requests.Maintains all logs and reporting documentation with an attention to detail.Enters daily tracking information into Fulfillment spreadsheets.Participates in cross-training and performs other duties as assigned (outgoing mailings, development projects, etc.)Consistently adheres to standard business procedure guidelines.Provides inter-department assistance on other internal/external member mailing projects as required.

Qualifications

High school diploma, GED, or equivalent1+ years of experience or the knowledge, skills, and abilities to succeed in the roleBasic knowledge of Scanning software (i.e. Knowledge Lake) and ECM (Electronic Content Management) Software systemsGood understanding of record keeping and file maintenance best practices and proceduresFamiliarity at a high level how documents are processed downstreamCollaboration and teamwork skillsGood oral and written communication skillsAdaptable with the ability to multi-task and perform multiple functional tasksAbility to operate mailing, copy or scanning equipmentGood time-management and prioritization skillsBasic knowledge of Windows operating system

Preferred

Associates degreeProficient knowledge of Microsoft Office suite

Working Conditions

While performing the duties of this job, the employee works in normal office working conditions.

The hiring range for this position is:

$16.50-$20.21
