The Counseling Center Care Coordinator is a full-time (35 hours/week), 12-month, non-exempt position. The Care Coordinator provides administrative support to the Counseling team, manages office space and supplies, builds and maintains the clinical and departmental schedule, and manages clinical documentation in accordance with confidentiality rules. The Care Coordinator is students’ first point of contact with the Counseling Center and accordingly, the Care Coordinator warmly engages and appropriately directs the flow of students seeking services and follows up with students receiving services to ensure continuity. The Care Coordinator conducts routine and urgent case management and referral for Counseling Center clients. The Care Coordinator assists with and actively contributes to the development, logistics, and delivery of mental health outreach programs, both for independently run Counseling Center programs and collaborative initiatives.
Primary Responsibilities:
Oversee daily office operations to ensure smooth workflow. Greet students, ensuring they feel welcomed and directing them in accordance with operational procedures. Answer and direct phone calls, including handling crisis calls with sensitivity and calm. Schedule clinical appointments, manage cancellations and rescheduling requests, and follow up with students who do not show up for sessions. Serve as the primary point of contact for internal and external communications. Relay messages between students, clients, clinicians, and other staff members. Provide administrative support to Counseling Center clinicians. Coordinate with clinicians to provide assistance to students in urgent situations. Maintain and manage the Counselor on Call schedule and overnight call documentation. Assist with development, logistics, and delivery of outreach programs. Create content for outreach materials and conduct research on relevant topics to facilitate creation of materials. Coordinate meetings and meeting spaces on campus. Ensure readiness of supplies and materials for programs and meetings. Deliver outreach programs as requested, including informational tables, brief classroom presentations, and others as assigned. Engage in collaboration with campus partners for development and preparation of outreach events. Conduct routine and urgent case management tasks. Document and monitor discharges, transitions, and referrals to ensure continuity of care. Conduct research to identify appropriate referrals and facilitate client connection with referrals. Create and manage referral resource directory. Participate in management of urgent and emergent situations by following clinician instructions to engage emergency resources as appropriate. Manage purchasing of supplies, submission of invoices, organization and storage of receipts, and assist with credit card and budget reconciliation. Organize and prepare supplies and spaces for all programs, meetings, and events. Takes responsibility for the center spaces including reception area, offices, supply room, chart room, storage room, telehealth room, and Wellness Room, and restock supplies as needed. Manage and update databases of contacts for extern and fellow recruitment. Generate and send marketing materials and coordinate interview and training schedules. Maintain ethical boundaries and confidentiality guidelines in all communications, at all times. Maintain consistent attendance to ensure seamless operations.
