Summary
The Coral Gables Golf and Country Club strives to offer a world-class country club to include fitness, wellness, social, and recreational amenities, as well as dining, entertainment, special events, and private venue opportunities for the community to gather and enjoy. Modeled after the City Beautiful-planned community movement, the Mediterranean Revival style building is a historic landmark, and the City’s first public building and golf course. Built in 1922, the club is part of the original 1921 city plan developed by Coral Gables’ founder and visionary George Merrick and is the namesake for the neighboring historic district which is comprised of the country club, the golf course, and 84 private residences.
The Country Club Administrative Analyst is responsible for managing the administrative tasks associated with the club’s fiscal planning, financial administration, reconciliation and reporting, as well as coordinating, implementing and evaluating activities within the club’s administrative division. Work emphasizes in assisting the Club Director in managing the club’s budget, IT initiatives to include oversight over all CRM, POS, sales force and recreation management software and applications, daily cash reconciliation, records management, and supervision of the day-to-day operations of the club. Work may include customer service functions and interaction with the public, as well as management of sub-division resources to support the business operations of the Venue, Athletic Club, Maintenance, and Le Parc Café. The incumbent will exercise independent judgment in evaluating needs and directing issues to the appropriate sub-division or staff for resolution, as well as evaluating resources allocated to staff to promote efficient operations. Reports to and is supervised by the club director.
Job Duties and Responsibilities

Disseminates information from the director to club management, employees, contractors, interns, and volunteers. Stays apprised of activities occurring throughout the division, department and city.
Assists the Club Director in financial matters and oversight related to the fiscal budget, CIP projects, and other special projects, including administrative and budgetary planning, budget oversight, budget and financial policy implementation and periodic review.
Assists with the solicitation of bids, enters purchase requisitions, administers open purchase orders, reconciles and pays out invoices, and makes recommendations on current and future expenditures.
Coordinates and facilitates contracts as the contract manager for the club and as liaison to the other club divisions.
Assists in the development and enhancement of policies and procedures to insure the highest level of administrative best practices.
Assists with training and implementation of administrative procedures and functions. Designs and implements appropriate training programs and periodically trains employees.
Assists in the supervision of support staff; issues discipline and takes other corrective measures as necessary.
Prepares and submits for approval and dissemination the club’s bi-weekly staffing schedule, payroll and general employee correspondence as instructed.
As requested by the Club Director, develops and analyzes statistical and productivity reports and makes recommendations for streamlining operations. Studies industry best practices and proposes solutions for optimizing operations. Implements and maintains satisfaction and evaluation surveys. Produces other reports as required.
Assists the Club Director in implementing and monitoring new initiatives; establishes benchmarks to measure the efficiency of procedures and allocates resources as needed.
Assists in the development, implementation and evaluation of new technology and record management initiatives within the department, consistent with Florida records retention law.
Maintains logs; processes complaints when received; tracks the progress of complaint resolution and records the final disposition.
Ensures completeness of controls, adherence to standards, completion of documentation, quality of output and efficiency of systems and programs.
Assists in the supervision of daily operations of the club; supports the club’s Venue, Athletic Club, and café in preparing customer information and responses to assist staff in expediting customer needs. Allocates or re-allocates staff resources as needed to ensure the efficient flow of customers.
Performs public relation duties to promote the club and its services. Prepares and may make presentations on behalf of the club to boards, special committees, civic groups and the general public.
Responsible for scheduling the Country Club board meetings, monthly agenda publication, recording of meeting minutes, publication of minutes and submission to the commission for the approval of minutes and motions, annual report submittal and coordination of any other board matters.
Reviews for completeness applications, forms, and other documents to be submitted to City Boards, departments, and outside agencies.
Performs other related tasks as required.
Qualifications
Bachelor’s Degree in recreation, leisure service, public administration, business administration, finance, or a related field; and
Three (3) years administrative experience in a public facility or municipality.
Any appropriate combination of relevant education and/or work experience will be considered.
A valid Florida Driver’s License.
HOLIDAYS: 15 days including 3 floating days.
SICK LEAVE: 110 hours annually.
ANNUAL LEAVE: 94 hours in the first year of employment, increasing up to 210 after 25 years. Employees must take 40 hours of annual leave each year.
BEREAVEMENT LEAVE: 5 or 10 days for the death of a family member in accordance with the City's Personnel Rules & Regulations.
HEALTH INSURANCE: Fully paid by the City (HMO Select). Coverage becomes effective 1st of month following 30 days. Employee may purchase coverage for eligible dependents at a cost of approximately 50% of the premium.
DENTAL INSURANCE: Available at a cost to all employees through payroll deduction.
LIFE INSURANCE: Term Life and Accidental Death and Dismemberment equal to 1 x annual salary (up to $200,000) fully paid by the City.
VOLUNTARY BENEFITS: Several plans are available, such as Short Term Disability, Life Insurance and Critical Illness policies through payroll deductions.
LEGAL SERVICES: Legal Service plan available at a cost to all employees through payroll deductions.
POST EMPLOYMENT HEALTH PLAN (PEHP): The City deposits $950 annually into an individual account for each employee. Monies may be used to pay premiums or medical expenses after retirement.
DEFERRED COMPENSATION: Employees may defer a portion of their pre-tax salary in the 457 Deferred Compensation Program.
TUITION REIMBURSEMENT: $2,000 per semester ($6,000 maximum annually) as per the City's Rules and Regulations.
CELL PHONE: Cell phone provided at a monthly cost of $20.00, if required by department.
RECREATIONAL USE: Employee, spouse and immediate family members seventeen (17) years of age and under are entitled to the benefits below:
- Venetian Pool – No charge for daily admission.
- Tennis Centers – No charge for daily court fees
- Youth Center – 50% off residential rates for memberships and 25% off camps and other programs.
Golf at Biltmore & Granada:
- Monday through Friday – no charge
- Saturday, Sunday and Holidays:
- Before Noon – Twilight fees apply
- After Noon – No charge
(cart fees apply at all times)
PENSION:
City Retirement Plan - Mandatory employee contribution of 10 % of salary; Vesting period is 10 years.
OR
Defined Contribution - 401a - Contribution by City of 7% of employee base annual salary. Vesting period 5 years. Employee not required to contribute.
