Course Specialist for Student Success; Professional Services Specialist III (PSS3; AFT)

Reports to: Associate Vice President for Rowan Online Operations

Under the supervision of the Associate Vice President for Rowan Online Operations, the PSS3 Course Operations Specialist assists with coordinating and executing all affairs of Course Operations daily-to-day. This position supports establishing and implementing division-wide policies for course scheduling, while ensuring compliance for all University-wide policies and procedures. The position will help students progress through their academic programs by creating student-centered schedules and providing relevant course information.  Additional responsibilities include the Rowan Online master schedule integration into the University-wide schedule.

Primary Responsibilities

Operations

Assists and evaluates the office's day-to-day operations and its advancement of student success.

Collaborates with advisors and academic departments to inform students of scheduling details, in a digestible manner, so they can build a successful schedule for a given term.

Collaborates with advisors and academic departments to examine ease of registration for students to ensure a student can complete their program on time.

Works with Provost Office, academic colleges and departments, Registrar, Instructor Operations, and other related offices to create technical processes that result in more efficient and accurate processing and results. 

Confirms all facets of Rowan Online Course Operations are compliant with applicable state and federal laws.

Collaborates with Instructor Operations to ensure professors are assigned to appropriate course(s).

Works with course facilitators, subject matter experts, and program coordinator to ensure course compliance with accreditation or other programmatic needs.

Works within scheduling system parameters to ensure FLAC faculty contracting system functions accurately; work with Dean’s Office personnel when customizing is required.

Responds to student inquiries (as load requires) related to course schedule administration (such as restrictions, pre-requisites, registration errors), and refer to academic advisors or other offices as necessary to ensure student success. 

Coordinates meetings, captures and disseminates notes, and other meeting logistics.

Assessment

Continuously reviews best practices and present process improvements and efficiencies to leadership for approval. Assess, on a regular basis, whether improvements are effective and report findings to leadership.

Collaborates with academic units to evaluate the efficiency and effectiveness of program offerings on time-to-completion for students.

Collaborates with advisors and academic departments to seek input from students regarding such areas as course selection to build a student-centered schedule and implement feedback accordingly.

Investigates and resolves reported incidents of system errors pertaining to students’ ability to access and utilize class sections to ensure student success.

Generates requested scheduling-related statistical data, including quantity and variety of class offerings, enrollment information (oftentimes separated by program or campus), canceled course reports, etc.

Assesses and interprets data related to course offerings. Recommend improvements to the scheduling process to increase improve student success where appropriate.

Using related data sources, optimizes current and future scheduling processes and policies to maximize enrollments in courses.

Other duties as assigned by the Associate Vice President for Rowan Online Operations.

Qualifications:

Required

Graduation from an accredited college with a bachelor’s degree.

Two (2) years of professional experience in review and analysis of administrative practices, policies, and operations; including making recommendations.

Ability to evaluate department performance, develop methods for improvement, and meet established objectives.

Ability to establish and maintain strong working relationships with stakeholders.

Ability to provide clear and effective assistance to student population, regarding scheduling data points.

Ability to prepare clear and accurate reports containing findings, conclusions, and recommendations.

Ability to effectively manage multiple competing priorities.

Ability to work in a fast-paced environment.

Strong orientation toward teamwork and the ability to achieve work through others. 

Experience working with people from diverse racial, ethnic, and socioeconomic backgrounds.

Preferred Knowledge of:

Higher education class scheduling practices and procedures.

Best practices in the online educational environment.
