Posting Number NONAC3403 Job Title Credentialing Coordinator- Medicine Position Title Credentialing Coordinator - Medicine Position Type Non-Faculty Number of vacancies 1 Salary Department Medicine Position Summary The Faculty Credentialing Coordinator is responsible for all aspects of onboarding, credentialing, and re-credentialing of healthcare professionals. This position ensures all Faculty are appropriately credentialed. This position primarily works independently but frequently coordinates with team members of the Clinical Enterprise’s Credentialing Departments. The position onboards new Faculty into the Department of Medicine and provides advanced, executive level administrative support of a highly responsible, professional, and confidential nature to ensure daily department operations and functions are performed in an efficient and effective manner Minimum Qualifications Education:
Associates degree required.
Experience: Two (2) years of experience in the capacity of credentialing coordinator or credentialing specialist specializing in provider enrollment. Minimum two (2) years of experience providing onboarding to healthcare providers. Preferred Qualifications Bachelor’s degree in a healthcare-related field, business administration, healthcare, or similar field preferred. Strongly prefer candidates with a healthcare background and EPIC experience Certified Professional Medical Services Management (CPMSM) or Certified Professional Credentialing Specialist (CPCS) certification is preferred. Experience with the CAQH (Council for Affordable Quality Healthcare) database and application process. Working knowledge of credentialing accreditation regulations, policies and Self-motivated and possess excellent communication skills with strong attention to detail. Critical thinking, problem-solving, analytical approach, relationship building, flexibility, innovation, and creativity are necessary characteristics. Excellent written communication skills, including reports, letters, memos, and emails. Job Duties Description of Job Duty Credentialing Operations: Obtain and verify credentialing documents required upon provider onboarding. Ensure compliance with the appropriate accrediting and regulatory agencies in relation to credentialing functions, including application management and primary source verification. Compile and maintain current and accurate data for all providers. Complete provider credentialing and re-credentialing applications. Monitor applications and follow up as needed. Maintain all providers’ copies of current state licenses, DEA certificates, malpractice coverage, and other required credentialing documents. Maintain knowledge of hospital-specific requirements for credentialing providers. Set up and maintain provider information in online credentialing databases and systems. Track license and certification expirations for all providers to ensure timely renewals. Track licenses, DEA, and professional liability expirations for all faculty members Coordinate with hospitals and physicians to complete the credentialing process, including any additional documentation, verifications, references, and applications necessary. Complete and review all applications to ensure accuracy before submission. Conduct onboarding document requests and primary verification sources. Coordinate the management of the expirable process to ensure all contracted provider licenses and certificates remain current, ensuring appropriate notification prior to expiration. Address and correct discrepancies as requested by payors. Complete requests for re-credentialing for both providers. Process requests from payers for credentialing information. Answer questions and process requests from staff/providers related to credentialing information. Perform and collect primary source verification documentation for licensing, board certifications, proof of professional liability insurance, National Practitioner Data Bank (NPDB), and other sources as required based on NCQA standards, health plan requirements, and company credentialing policies. Maintain the credentialing database and ensure up-to-date information is always obtained. Responsible for monitoring and managing credentialing/re-credentialing requirements and ensuring the collection of all required renewal certifications are on file within the required time frame. Provide consistent and timely follow-up on all outstanding credentialing/re-credentialing files. Prepare and scan credentialing/re-credentialing files and other credentialing documentation into scanning software. Process provider demographic changes, ensure appropriate documentation has been submitted, update the credentialing database, and notify health plans of changes. On-Boarding Operations: Serve as the Faculty Coordinator to the Chair and Director of Finance and Business Operations of a complex clinical department; Serve as primary administrative contact for faculty recruiting and onboarding, as well as for credentialing matters related to Grady Hospital, other hospitals, and Morehouse Healthcare (MHC), including clinical contracts at community sites under MHC. Develop strong professional relationships with other departments, faculty, hospital liaisons, MHC liaisons, learners, and other outside constituent. Coordinate faculty appointment, initial credentialing, re-credentialing, annual evaluations, and promotion packages including hospital and MHC credentialing, working closely with the Office of Faculty Affairs and Development and Human Resources. Manage functions related to adjunct faculty including initiating and coordinating faculty appointments and reappointments, maintaining database of department contributions, and facilitating honorarium payments for teaching contributions to the Fellowship program. Manage Department Grand Round activities and other departmental CME events to include close coordination with the Office of Extended Professional Education to ensure departmental adherence to accreditation standards for CME.
