Customer Service Administrative Assistant
Job Title: Customer Service Administrative Assistant Job Description The Customer Service Administrative Assistant will manage engine service program contracts, including setup for new contracts, transfers, and re-enrollments. This role involves handling overall customer information functions with in-service data in an integrated database, covering customer contact information, service contracts, utilization rates, pricing with yearly escalations, and payment & cost history for financial billing and collection. Additional duties include managing new and renewal pricing for ESA programs, providing near-term sales projections, assisting in the development of fleet-wide financial metrics, and supporting various projects related to engine service programs. Responsibilities + Manage engine service program contracts, including new setups, transfers, and re-enrollments. + Handle overall customer information functions with in-service data in an integrated database. + Manage new and renewal pricing for ESA programs. + Provide near-term sales projections for engine service contracts. + Assist in developing fleet-wide financial metrics for engine service programs profitability. + Draft and maintain engine service contracts. + Support projects related to engine service programs. + Maintain fleet utilization data reflecting fleet growth and perform periodic statistical analysis. + Provide fleet data forecasting support to Planning and MRO shop. + Develop and support the HF120Connect App and portal administration. + Handle user access requests and authorization. + Develop and coordinate marketing communication efforts, including web portals, social media, PR, and giveaways. + Manage marketing assets for exhibits and tradeshows. + Conduct market research for Personal Jet, VLJ, LJ markets, and emerging markets. Essential Skills + Financial reporting + Financial billing + Forecasting + Data analysis + Service contracts management + Marketing + ERP systems (IFS preferred) + Bachelor’s degree in business or equivalent experience + Experience in Customer Service/Marketing supporting a manufacturing or production company + Experience with managing service contracts + Experience in Maintenance and Repair shop considered an asset + Strong Excel and Microsoft PowerPoint skills + Detail-oriented and strong problem-solving skills + Ability to self-manage workload and efficiently manage multiple tasks + Strong and effective communication skills Additional Skills & Qualifications + Experience with ERP systems (IFS preferred) + Ability to present large data in an aggregate and succinct manner + Accurate financial forecasts + Timely setup of engine service contracts + Accurate fleet data utilization and forecasting Work Environment This position may require exposure to manufacturing areas where personal protective equipment such as safety glasses with side shields, mandatory hearing protection, and safety shoes are required.
