Customer Service Representative Central Oregon Animal Hospital

Central Oregon Animal hospital is a small animal, multi-doctor practice located in Bend, Oregon. We are looking for a self-motivated, compassionate candidate capable of providing high quality service in a fast-paced environment. We have a well-established practice with dedicated and talented Veterinarians and support staff. We offer a 10 hour work day, 3-4 days per week with rotating Saturdays.

Position Overview

This is a full-time postion, 30-40 hours per week. The purpose of this position is to perform a variety of customer service and client communication duties to ensure quality pet care and promote increased efficiency within the veterinary hospital.

Must be able to withstand unpleasant odors and noises. May be exposed to bites, scratches, and animal waste.

 

Reporting Structure

Directly reports to the Hospital Manager, Managing Veterinarian, and Lead CSR.

 

Primary Responsibilities

Accounting

·         Performs the posting of daily transactions and hospital invoices.

·         Collects on accounts. Including past-due accounts.

·         Ensures payment policy is followed and proper documents are obtained from clients.

·         Completes end of day reporting and reconciliation of payments received.

Scheduling

·         Accurately schedules appointments based on pet needs and required time allotments

·         Verifies all services requested by client

·         Maintains daily, weekly and monthly DVM schedule to optimize patient care

Customer Service

·         Greet clients with a smile and verify all information is correct.

·         Maintain clinic flow by rooming clients quickly, communicating with medical staff and keeping track of waiting clients

·         Communicate with clients about current or upcoming visits and recommended services.

·         Communicate pricing using estimate tools.

 

Personal Conduct

·         Adheres to all hospital policies, standards, and procedures, including but not limited to uniforms, grooming, smoking, and personal calls, as stated in the hospital procedures manual.

·         Serves as a representative of the hospital, displaying courtesy, tact, consideration, and a positive attitude in all interactions with clients, patients, and other staff members.

·         Demonstrates initiative in everyday duties by seeking other work during down times, assisting other employees, and filling in for other employees as needed.

·         Adheres to the posted work schedule. Arrives for work promptly and begins work at the start time. Follows hospital policies for reporting lateness or absences.

·         Utilizes the time clock to clock in and out at the beginning and end of each day and during breaks.

·         Organizes work area and exercises time-management skills to maximize personal efficiency.

·         Prioritizes tasks and handles multiple tasks in a calm, organized manner.

Additional Duties

·         Assist new team members in hospital policies.

·         Performs other duties & projects as directed by management.

Requirements                                           

·         Education equivalent to the completion of the 12th grade.

·         Knowledge of general office practices and procedures, (reception) duties, and telephone techniques.

·         Demonstrate ability to perform clerical work with speed and accuracy, use a multiple-line telephone system, and handle cash and other forms of payment.

·         Experience assembling patient records, obtaining relevant information from clients, and accurately entering a variety of information in patient records.

·         Ability to complete assigned tasks in the time allotted without direct supervision.

·         Demonstrate ability to show empathy toward clients and treat animals with respect and compassion.

·         Excellent interpersonal communication skills.

·         A commitment to outstanding client service.

·         Ability to lift objects weighing 40 pounds without assistance and objects weighing more than 40 pounds with assistance.

·         Ability to stay on task and work energetically for the entire shift, sometimes exceeding 10 hours per day.

·         Preferred: Knowledge of veterinary medical terminology and procedures and general computer skills.

·         Preferred: Ability to type 45+ words per minute.

·         Preferred: One or more years recent experience in a veterinary facility.
