Customer Service&Supply Chain Specialist
Job Purpose:
Execution of the best-in-class service through effective interactions with customers to ensure customers’ business needs are met and exceeded and sales targets are met in partnership with the commercial organizationImplement outstanding customer service strategies aimed at enhancing customer experience and drive business.Back up and support for the Supply Chain Supervisor
Key Task and Responsibilities:
Customer Interaction
Acting as primary contact for customers in executing the end-to-end sales order process, including pricing/discount structures, credit status and customer data management and maintenance.Provide accurate product/service information, addressing customer questions and concerns effectively.Resolve customer complaints by investigating issues, offering solutions, and following up to ensure customer satisfaction.Process returns, exchanges, and refunds in accordance with company policies.Analyze account history, understand the region’s supply needs, help make decisions to optimize orders and product deliveries.Identify opportunities for process improvements and communicate feedback to the team.Actively engage in customer meetings, guide and persuade clients to embrace new processes, tools, and systems. Seek customer feedback to track satisfaction levels and identify solutions to improve experience.Share weekly and monthly sales order report, order bank status report and stock reports.Proper filing / record keeping of all customer service-related documentation.Ensure recording of complaints or other non-conformities in GIMs or other systems, update of Standard Operating Procedures (SOP’s) as and when required.Stay updated on product knowledge and company policies. Liaise with 3PL and Logistic partners, ensure Service Levels remain consistent.Foster a shared sense of ownership within the team by encouraging open communication, mutual support, and collective problem-solving.Vendor Management
Managing purchase orders, receipt purchases, manage queries from vendors and ensure invoices are paid on time to ensure business continuityEngage in KPI and operational reviews with the 3PL provider, assist in finding solutions to daily operational issues.Supply Chain
Act as the primary point of contact and provide guidance during the absence of the Supply Chain Supervisor, ensuring continuity of processes and maintaining operational flow.Support operational needs:
Supply planning: placing orders for stock, managing the orders from start to finish, ensure timeous delivery so that sales orders can be delivered on time in full. Demand planning and maintaining of customer forecast files and dashboards.Monitor the management of inventory at the distribution center including SAP system movements, cycle counts, quality testing and scrapping.Validate import documentation.Applications for LOA’s and Import Permits to the local authorities.Supply LOA’s to the customs broker when requested.Manage/create reports as operationally required.Participate in Sales & Operations Execution and Sales & Operations Planning.Quality management.
Qualifications and Competencies:
Demonstrated experience in supply chain, international trade, sales order processing, warehousing & inventory control and logistics managementExcellent verbal and written communication skills (English & Afrikaans)Computer literacyKnowledge of IT systems: SAP, SalesforceKnowledge of ISO 9001:2015 quality management standard and proceduresGood analytical skills, strong planning capabilities, and strategic thinking.Business key competencies: customer focus, strategic mindset, results orientation, collaboration, agility, complaint management and decision makingStrong customer orientation with a good sense of relationship management and building trust3-5 years operational experience in Customer Service, Commercial, Logistics or Administration
