Overview We are seeking a meticulous and detail-oriented Data Entry Specialist to join our Quality Team for the 2024 Enterprise Process Mapping project. This position offers part-time hours, approximately 20 hours per week, and requires on-site presence to collaborate closely with functional leaders and the Quality Team. In this role, you will be an essential part of a team tasked with documenting and mapping business processes across various departments. Your primary responsibility will be to gather and accurately input process-related information from functional leaders into an Excel template, which will be used to generate process maps in Visio. Your work will directly support the successful documentation and review of enterprise-wide processes, contributing to improved efficiency and standardization within the organization. Additionally, you will leverage web-based AI tools to create descriptive narratives for the generated process maps, ensuring a clear and comprehensive understanding of each mapped process. Essential Job Duties Data Collection & Entry: You will be responsible for collecting detailed process information from various functional leaders and entering it into a predefined Excel template. This data will include steps, decision points, and key milestones in each process. Your attention to detail and ability to interpret complex information will be critical to ensuring accuracy in data entry, as this information will directly influence the generation of process maps in Visio. The ideal candidate will take ownership of this data entry process and ensure that all data is organized, categorized, and stored correctly. Excel Template Management: The position requires intermediate-level proficiency with Excel, including the ability to format cells, create basic formulas, and organize data in a way that supports efficient processing in Visio. You will be responsible for maintaining the integrity of the template, troubleshooting any issues related to data inconsistencies, and ensuring all data entered is error-free and formatted according to project requirements. AI-Generated Process Descriptions: In addition to working with Excel and Visio, you will use a web-based AI tool to create descriptive narratives that correspond with the process maps. This task will involve copying and pasting relevant information into the AI system and ensuring the output is accurate, clear, and useful for process documentation. Your ability to work with web-based applications and quickly learn new tools will be essential for this part of the role. Collaboration with Functional Leaders: You will work closely with functional leaders from different departments to gather, clarify, and verify the information necessary for mapping out processes. Clear communication skills and a collaborative approach will be critical as you liaise with these leaders to ensure that all relevant details are captured accurately. You may need to follow up on incomplete information or seek clarification to ensure all data meets project standards. Document Management: All documentation will be stored, organized, and maintained for review by functional leaders. You will be responsible for managing this documentation process, ensuring all files are properly named, stored in the appropriate location, and easily accessible for review. Attention to detail in file management will be critical to keeping the project on track. Quality Control & Data Validation: A key part of your role will be to ensure that all data entered is accurate and complete. You will review the data for any errors, inconsistencies, or omissions, and conduct quality checks to maintain data integrity. You will also be expected to update records based on feedback from the functional leaders and correct any discrepancies in a timely manner. Minimum Requirements Basic Office Skills: The successful candidate should be proficient in basic office tasks such as email communication, scheduling, and document management. You will need to be organized and capable of managing multiple tasks at once while adhering to deadlines. Intermediate Excel Skills: You should have intermediate-level skills in Excel, including the ability to enter data efficiently, format spreadsheets, and use basic formulas to ensure the data is structured in a way that supports its downstream use in process mapping. Familiarity with tools such as pivot tables or data validation techniques is a plus but not required. Web Browser & AI Tools: You should be comfortable using web browsers to navigate AI tools and generate descriptive content. The ability to copy, paste, and edit information accurately is essential, as is an aptitude for learning new technologies quickly. Attention to Detail: A critical requirement for this role is a high level of attention to detail. You will be handling important process data, and even small errors could lead to incorrect or incomplete process maps. The ability to spot and correct errors and inconsistencies is essential. Communication & Collaboration: You should have strong communication skills to work effectively with functional leaders, ensuring that all data you receive is accurate and complete. Experience in working collaboratively within cross-functional teams is highly valued, as you will need to follow up on information and ensure alignment across departments. Time Management: This is a part-time role requiring you to work approximately 20 hours per week, with some flexibility within office hours. Strong time-management skills are necessary to handle the workload efficiently, ensuring deadlines are met while maintaining high accuracy in data entry and documentation. Education: High School Diploma.
