DC Administrative Coordinator

GENERAL SUMMARY & SCOPE As a DC Administrative Coordinator at Ulta Beauty, you will be tasked with handling Distribution Center (DC) supply purchasing and negotiation through careful analysis and the frequent use of initiative and independent judgment. Because you may be executing contracts of a sensitive, complex, and sometimes confidential nature, both inside and outside the company, a high degree of professionalism and confidentiality is a must. In this role, you will have a direct influence on Ulta Beauty’s bottom line by securing the best possible services at the most competitive prices, while developing strong and mutually beneficial vendor relationships. This position requires a passion for the beauty industry, a drive for results, exceptional guest service, and the aptitude to learn and communicate business knowledge. PRINCIPAL DUTIES & RESPONSIBILITIES (*Essential Functions) The DC Administrative Coordinator (DCAC) is a champion of Ulta Beauty’s mission, vision, and values, and should demonstrate them skillfully and consistently by performing the following duties and responsibilities of the position (as well as all other projects/duties as assigned): Performance Make all purchases of DC materials, operating supplies, packaging, janitorial services, etc. Handle all invoice verification for all DC expenditures, including receiving and coding invoices, tracking invoices in SAP & Ariba and reporting period accruals. Follow-up on warehouse purchases of supplies and supply inventories by setting up controls, tracking and reporting for employee-based equipment usage and replenishment. Assist in conducting DC new hire orientations and issuing necessary supplies. Coordinate reward and recognition events for DC employees, including set up, clean up, and hands-on support during events. Assist in coordination of DC fundraising and community events. Maintain Genetec security database and issuing all DC new hire, replacement, and agency or vendor badges. Support DC Management with daily tasks, including mail, expense reports, vacation schedules, reports, and related duties. Provide UPS support functions, such as handling and shipping expedites, reporting and tracking expedite shipments, and vendor chargebacks. Order/maintain inventory of warehouse supplies. Monitor the recycle program and ensure supplies, trailers, and compactors are accessible and ready for use. Create and maintain DC communications and postings, including event calendars and break room table and/or TV postings. Serve as a backup for the DC PS Specialist and E&F Planning Purchaser when needed. Complete special projects and other duties as assigned. Maintain prompt, regular attendance. People Demonstrate high standards of customer service. Support all associates and leadership in the DC. Develop a partnership with People Success & Engineering & Facilities associates to maintain alignment and provide support. Establish professional peer and partner relationships that foster a shared interest in collaboratively delivering exceptional service. Maintain open communication with leadership team and provide regular updates on all projects. Maintain confidentiality of privileged and sensitive information. Attend mandatory trainings and meetings to enable continuous professional development. Process Be knowledgeable of and ensure compliance with Ulta Beauty policies, procedures, and standards. Follow all safety DC Director for timely approvals to ensure adequate stock is maintained. Maintain outstanding operational standards, including cleanliness of work area, main office, supply closets, leadership break area, and any additional assigned area. Adhere to the Ulta Beauty dress code. Protect company assets by following loss prevention best practices and providing exceptional service. Execute other operational tasks as directed. JOB QUALIFICATIONS Education High School Diploma or GED. Experience 2-3 years’ experience in similar administrative role is required. Experience in office coordination or project coordination preferred. Skills Proven organizational and time management skills and experience. Ability to negotiate pricing and suggest creative deal buys. Ability to work independently with minimal supervision. English Proficient. Excellent written and verbal communication skills. Ability to multi-task and meet deadlines with minimal direction. Experience with purchasing & inventory control. Proficiency with Microsoft Office Suite, strong skills with Excel. Previous SAP & Ariba experience is preferred. Professionalism and confidentiality required. Ability to work independently and as part of a team. SPECIAL POSITION REQUIREMENTS Work a flexible schedule to include days, evenings, weekends, and holidays.
