The Office of the Registrar provides leadership and service in student enrollment and academic record management that supports recruitment, retention and graduation goals of Colorado State University. Position Summary The Degree Analyst is a professional position within the Office of the Registrar that independently makes decisions affecting students’ academic records and their graduation from Colorado State University. Degree Analysts spend the vast majority of their time assessing situations, collecting and analyzing data, solving problems, and collaborating with academic departments. Each Degree Analyst serves as the primary liaison for a specific set of colleges and departments. Degree analysts provide evaluation of domestic and international credentials to determine course and credit equivalents at the undergraduate level. In addition, each Degree Analyst studies individual student records to confirm degree progress and, as needed, provide students options and guidance in determining appropriate alternatives for meeting requirements of their specific degree program. Both Transfer Evaluation and Degree Completion requirement analysis involve looking at each situation to decide on the best approach for the unique circumstance, while continuing to be fair and consistent within the policies and procedures in place. This position is responsible for handling transfer evaluation for all Colorado State University undergraduate students. Evaluation of post-secondary credentials requires looking at things holistically, being creative and not just comparing words in descriptions but comparing concepts and framework. Each analyst must ensure student records accurately reflect content and rigor the student has experienced, while applying university standards and policy to each evaluation. This position also has the program responsibility to serve as a liaison to particular groups regarding evaluation and degree completion requirements. Those with unique needs include, but are not limited to, the following: the Athletics Department pertaining to tentative transfer evaluations for student-athletes, IDP /IDP+ participants, CE/RI students needing to admit as degree seeking to graduate, applying University Honors and Discipline Honors, the Transfer Student Center, and the Division of Continuing Education. In addition, this position works with departments providing coaching, when necessary, regarding the application of course substitutions and waivers within policy to assist in advancing student degree progression. As a professional employee, the Degree Analyst participates in professional development workshops and/or professional organization conferences in capacities of an attendee, committee member, and/or presenter. Members of the degree analyst unit contribute to departmental goals for cross training in other Registrar units, participate in unit, division, and campus committees, and manage additional duties as assigned. The selected candidate is one who will be comfortable working with complex student issues while navigating university policy, as well as a person that can collaborate with a wide range of University employees. This individual must strive for excellence, accuracy and have a passion for solving problems in a team environment. Essential Duties Job Duty CategoryTransfer Evaluation Analysis Duty/Responsibility + Independently determine the number of credits a student will receive in transfer as well as the equivalencies of those credits. These decisions affect class standing and time to graduation. + Investigate, analyze, evaluate and code domestic undergraduate post-secondary transfer credit. + Conduct research and apply appropriate conversion factor to transfer credits in order to transfer the correct number of credits for courses utilizing standard resources such as: information from the sending institution, the general catalog of the sending institution, the Ministry of Education in the case of international credit, and the AACRAO transfer credit standards guide. + Determine equivalencies using TES (Transfer Equivalency System) and transfer guidelines created by the unit and approved by departments and Vice Provost. + Analyze course descriptions from sending institutions to determine if concepts and academic rigor are sufficient, based on fluency with the Colorado State University Course catalog, to award direct and elective credit as applicable. + Work with students on a one on one basis to determine other direct equivalencies/options. + Work with academic departments to determine direct equivalencies for upper division and less commonly transferred courses. + Reduce duplicate credit when applicable to avoid differential tuition before it is warranted. + Using analysis, make complex and independent decisions to provide elective credit or perform a revaluation for direct credit, in the case of duplicate credit. + Be familiar with course content, the degree audit system output, and updated business practices as approved by the Vice Provost of Undergraduate Affairs. + Review additional detail including syllabus during re-evaluation process. Utilize professional judgment to best serve the student while equitably applying transfer evaluation standards and policy. + Review course information, determine equivalencies, and create tentative transfer evaluation reports for prospective (not yet admitted) students considering transfer to CSU . + Prepare and communicate transfer evaluations for incoming transfer student-athletes. + Apply knowledge of guidelines to guarantee the correct outcome. + Download and encode AP and IB credit to individual student records. Percentage Of Time40 Job Duty CategoryProblem Solving with Students and Academic Departments Duty/Responsibility + Engage, on a daily basis, with academic departments and students to identify, address and resolve complex academic problems. + Advise, counsel, and recommend to students possible solutions to deficient requirements either by completing courses in transfer, taking courses at CSU , requesting substitutions/waivers for requirements or other possible solutions. + Collect data, consider all options, and determine best course of action for student based on situation presented. + Discuss and recommend to academic departments solutions to problematic situations within departmental requirements and individual student situations. + Guide students and advisors through AUCC or graduation appeal options, if appropriate, for their situation. + Provide guidance and standards to departments when determining course evaluations or re-evaluations. + Partner with the University Programs to address issues with student records. + Respond to inquiries from students, faculty, staff, and parents/support-givers via phone, front counter, and e-mail. + Represent Colorado State University at Transfer Fairs. Provide information, insight and guidance to prospective students and their families. + Serve as a subject matter expert on using the degree audit, Transferology, graduation requirements (university, AUCC , and major), graduation contract processing and related policies and procedures for department staff and students; provide information and follow-up training to departments as needed. Percentage Of Time15 Job Duty CategoryDegree Conferral Duty/Responsibility + Determine eligibility for graduation through: investigating and identifying various levels of compliance to ensure university and department requirements have been met; such as university, upper division, credits in residence, core curriculum, and major/concentration/minor/certificate requirements by specific degree requirements and evaluating the student’s coursework against those requirements. + Collaborate with academic departments to confirm exceptions for substitutions and waivers granted for individual students and encode such exceptions when necessary. + Serve as the main contact and liaison with the assigned colleges and departments as well as other departments for graduation requirements for second majors and minors. + Determine, under university-established guidelines, eligibility for multiple diplomas, BAS diploma, and final Graduation with Distinction designation at the point of undergraduate degree conferral. + Often students deviate from the prescribed curriculum for their program of study, in those instances manual intervention (processing degree exceptions) is required to have courses fall into the appropriate places in the degree audit. + Reach out to the academic department (and often the student) with informed recommendations of proposed solutions to unfulfilled requirements. + Work independently though at times they may choose to work with colleagues to identify solutions/options. + Execute graduation for all undergraduate students at Colorado State University.
