About the Department
 

The Classics Department at the University of Chicago pursues a wide range of curricular and research initiatives. Its undergraduate courses enroll 1,000 students per year. The Master of Arts Program in the Humanities includes a special concentration in Classics. The PhD program enrolls students with a wide range of specialties and regularly hosts students in joint degree programs with Comparative Literature, Social Thought, and Theater and Performance Studies. The faculty themselves work across multiple fields; many hold cross-appointments in other departments; and the department supervises several grants and endowments in support of research, annual lectures, and education.


Job Summary
 

Under the direction of the Department Chair and within the guidelines of divisional administration, the Department Administrator manages academic and administrative affairs of the Classics department. The Department Administrator independently manages a high level of responsibilities supporting a broad range of operational, student, faculty and other academic, curriculum, event, and finance/budget activities, and works to minimize the administrative overload of faculty who hold administrative positions in the department. Responsibilities include collaboration with leadership on department initiatives, student and faculty support, budget and financial management, event support, establishment of best practices, management of operational workflow, and relationship building.

Responsibilities

Develops a deep understanding of the Classics Department and serves as point person for the Department, liaising between the Department, Division, University partners, and external stakeholders to service the program and perform day-to-day functions, ensuring continuity in departmental operations and faculty/student support. Develops and maintains department website. Creates content and posts on social media. Develops and maintains department procedure manuals, tracking spreadsheets, databases, files, and documents.   Partners with divisional personnel including Dean of Students, Financial and Grant Services, Academic Affairs, HR, Facilities, etc. and with other University offices and units on relevant activities (e.g., new faculty hires, faculty review, renewal and promotion processes, student hires, programming, curricular offerings, teaching, dissertations, financial aid, physical space needs, etc.).  Maintains Department calendars and tracks deadlines. Advises department chair, faculty committees, and students on upcoming projects, competitions, submission dates, etc. well in advance of execution. Participates in faculty meetings and departmental retreats as needed, helps plan meeting agendas and keep minutes. Manages and oversees course scheduling in consultation with the chair, Director of Graduate Studies (DGS), Director of Undergraduate Studies (DUS), and teaching faculty. Ensures timely completion and submission of course schedule to Registrar and tracks and analyzes course enrollments. Coordinates with Registrar and other departments to manage cross-listings. Manages faculty renewal and tenure processes in collaboration with the department chair. Facilitates recruitment of new faculty. Manages faculty leave applications and annual report. Advises students independently about degree requirements and other concerns; forwards pedagogical or life crises situations to the appropriate resource; tracks degree requirements and records student milestones in relevant databases; and manages the graduate review process in collaboration with the DGS and Chair. Manages visiting scholar and visiting professor processes, including paperwork, and initiating the visa request. And orienting the visitor upon arrival. Develops and manages budgets; makes short- and long-term plans for endowment and gift accounts as well as departmental operating budgets. Processes and reconciles expenses. Produces budget and financial reports as requested and provides budgetary analysis as needed. Manages the planning and execution of programmatic events, workshops, conferences, readings and lectures, and other ad-hoc events that add to the academic and cultural life of the department, including organization of logistics including room reservations, catering, transportation, promotional materials, and day of set up/take down. Assists with the hiring, onboarding, and management of student workers, both for the department and for research assistance for faculty projects. Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.Analyzes program budgets and recommends or makes budgetary recommendations.Performs other related work as needed.

Experience:

Administration and/or office management. Higher education exposure providing student and/or academic support. Demonstrates progressively responsible administrative experience. 

Technical Skills or Knowledge:

Proficiency with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook, etc.). Proficiency using Zoom for remote meetings. Skilled at learning and using new software systems (financial, academic, administrative, website, etc.).

Working Conditions

Office environment. Lift up to 25 pounds to support event setup/take down, or request additional support as needed. Occasional work outside of normal business hours in the evening or weekends.
