Department Assistant - Mission Critical (London, UK)

The Department Assistant will provide administrative assistance to significantly impact the productivity and overall success of BMcD UK, specifically the Global Facilities and Services Construction group. This position will also coordinate with department management on Business Development initiatives, such as expanding business opportunities, building relationships with clients, and driving growth through new partnerships, sales, or market expansion. + Diary Management across multiple time zones + Inbox management - including answering on behalf where appropriate and ensuring emails are actioned quickly, keeping their inbox manageable. + Manage travel coordination - booking aspects of travel in a cost effective way. Providing detailed itineraries and coordinating with the global mobility team, to ensure travelers are compliant + Ensure high levels of discretion on all assigned duties, protecting the organization's value by keeping information confidential. + Ensure expense reports are accurate and up to date + Prepare monthly reports in a timely manner + Prepare presentations where required + Schedule meetings. Preparing all necessary documentation, agendas, minutes, actions. + Events and conference planning for BMcD within budgets + Provide and establish consistency in communication to the wider team + General administrative support + Organize and maintain project files, filing system and project communications. + Update record copies, engineering project documentation and changes. + Lead on social and community engagement + Provide sales and marketing support + Support transformation activities and AI implementation with updated UK procedures and software + Comply with all policies and standards + Perform and coordinate all business development activities in assigned geographic/industry territory in accordance with overall corporate business strategy. + Increase customer awareness of the capabilities within Burns & McDonnell Engineering by continually contacting new clients and maintaining existing client relations. + Manage client-focused strategies and action plans that respond to client challenges and issues and create a competitive advantage for the firm to successfully obtain the work. + Manage business development teams in key opening and middle game activities, including conducting market research, analysing clients and competitors, and collaborating to develop value propositions as part of work winning team. + Identify trendsetter ideas by researching industry and related events, publications, and announcements; track individual contributors and their accomplishments. + Locate or propose potential business deals by contacting potential partners and discovering and exploring opportunities. + Ensure CRM database is up to date for BMcD customers and opportunities + Reporting from CRM as required + Customer mapping journey - help set goals, map journey, identify pain points for continuous improvement + Tracking OKR’s / close new business deals by coordinating requirements, developing and negotiating contracts, and integrating contract requirements with business operations. + Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations. + Enhance the organization's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments. + Identify new, non-traditional and compelling solutions to a customer's stated project scope of work to differentiate Burns & McDonnell. + Research trade shows for potential attendance and/or participation through speaking, presentations, client events, and arranging a booth. + Recruitment of presenters and/or making presentations at the tradeshow. Become an active member of relevant industry associations. + Identify synergies internal to the Burns & McDonnell organization in other Global Practices and Regional Offices. Develop relationships to leverage one another's skills, abilities, and client contacts to further the marketing effort in GFS. + Understand and communicate ongoing sales/marketing initiatives with other BMcD organizations. + Responsible for communicating regularly with other Business Development Leads and Project Managers. Collect real-time marketing data from the internal team and lead internal team marketing meetings. + Identify potential clients and build relationships at the highest possible corporate level. + Contribute to the annual marketing and sales planning process. + Commit to personal sales and marketing goals, and develop a plan to achieve goals. + All other duties as assigned. **Qualifications** + High School Diploma or equivalent required and minimum of one year applicable office experience preferred + Advance knowledge in Microsoft Word, Excel, Access and PowerPoint required + Ability to work independently; demonstrating accuracy, reliability, and problem solving skills. + Excellent organization skills, attention to detail, verbal and written communication skills, and ability to handle multiple tasks. + Demonstrated ability to communicate professionally and effectively with all levels within an organization and with others outside of the organization (i.e. clients, vendors, business partners, community leaders). **Job** Administrative/Office Support **Primary Location** GB-London, UK-London **Schedule:** Full-time **Travel:** Yes, 5 % of the Time **Req ID:** 250344 **Job Hire Type** Experienced #LI-DZ #UKO N/A
