Summary

Job Summary:

The Department Coordinator works to enhance the operation, efficiency and integration of the Department, to include the clinic and administrative office as appropriate. This position coordinates projects and provides administrative expertise to the Department. This position manages multiple projects and independently prioritizes work identified by the Department Administrator or Department Chair. In addition, the Department Coordinator provides a variety of administrative office support functions to ensure the efficient operation of the Department. This position is responsible for coordinating internal and external resources to fulfill the goals and objectives of the Department in a timely and financially responsible manner. Department coordinators will be responsible for supporting and managing activities associated with ACGME Fellowship programs.

These coordinators are responsible for all aspects of the management and administration of the program including planning and coordinating academic and operational activities; assisting in the development, implementation, and ongoing compliance with the program’s goals and objectives; monitoring accreditation requirements to assure the program maintains compliance; and providing sound guidance and advice regarding significant GME program issues. Other applicable duties as assigned by Leadership.

 

 Responsibilities:

 

Coordinates all recruitment and onboarding activities including residents/fellows to include streamlining workflows and processes as appropriate. Requires coordination with other departments and incoming providers from interview/pre-hire and throughout the hiring process.

 

Assures the maintenance of the department contact lists and calendars, to include SmartWeb management for >12  schedules, to include those needed for CGSO coverage. Schedules meetings, takes minutes, provide other support for assigned department meetings and subcommittees and all associated activities. Ensures all trainee and supervising physicians are updated as appropriate at the Institution and State levels.

 

Promotes effective methods of verbal and written communication to and among Faculty and staff. Serves as key resource and/or super user for departmental systems, reports and operations. Independently researches solutions to communication challenges for all team members and those who rely on our services

 

Credentials/Qualifications:

§  High School diploma required, Bachelor’s Degree preferred

§  Required: Minimum three (3) years' experience in an administrative or analytical function in a healthcare, education, or corporate environment

§  Preferred: More than five (5) years' experience in an administrative or analytical function in a healthcare, education, or corporate environment

§  Expertise and demonstrated efficiency with office organization, procedures and protocols Demonstrated proficiency with MS Office to include Word, Excel and PowerPoint. Familiarity with Capstone/PowerChart and SSRS reporting tools

§ Proficiency in Adobe Professional, New Innovations and ERAS are preferred, although candidate may be trained on the job on these programs
