Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._ **Responsibilities:** GENERAL PURPOSE: The Department Coordinator IV assists the Staff Administrator in providing support to Social Work and Patient & Family Services; Census Management; and Environmental Services. The position requires collaborating closely with Program Directors, Managers, and Supervisors in Administrative Services; Data Analysts; Chaplaincy Services; Communications Center; Financial Case Management; Financial Counseling; Acute Care Coordinators; Interpreter Services; Ambassador and Guest Services; Social Work; Admitting; Environmental Services and Patient Transportation to ensure the Hospital and Program maintain high standards of quality and excellence. **ESSENTIAL FUNCTIONS** **Compliance/Quality Assurance** + Manages the Programs’ credentialing/compliance files for Joint Commission, Department of Health, Office of Mental Health and hospital wide policy compliance. Prepares and reviews credentialing files for reviewer requests. Coordinates database maintenance to ensure documentation is accurate, submitted by the due dates. The database consists of credentialing, performance evaluations, core-competencies, health updates, mandatory in-services, education records, resumes, orientation checklists, Justice Center/Code of Conduct, NYS Child Registry, and MyPath training. Verifies Social Work licensures, Interpreter certifications and NYS child registry reporting. Ensures through MyPath that staff complete required trainings upon employment and yearly as required. Manages staff annual flu vaccine and health update compliance. **Coverage** + Provides coverage to Social Work and Care Management Reception desks by managing incoming calls, assessing patient needs, providing information, and triaging to licensed social work staff while handling interactions with sensitivity and respect during crises. Manages the Social Work Outlook account for the distribution of patient/support person to the appropriate staff/community resources. Provides supports by identifying resources and maintaining up-to-date resource lists. Collaborate with the licensed social work team, conducting daily audits of resource distribution, and ensuring proper documentation is obtained. Includes evaluating transportation needs, such as bus pass distribution for clinical appointments and discharges and coordinating special services like language assistance or ASL interpreters. Additionally, the role handles incoming referrals for hotel and lodging arrangements for medical and surgical patients and their support persons. **Administrative Support** + Oversees annual space survey and furniture/equipment inventory and oversees and coordinates all facilities requests for both the Social Work and Care Management Suites as well as for the following departments: Systems Analyst, Chaplaincy Services, Communications Center, Financial Counseling, Financial Case Management, Home Care Liaison/Acute Care Coordinators, Interpreter Services, Ambassador and Guest Services, Social Work, Patient and Family Relations, Admitting and Patient Transportation. Ensures Joint Commission compliance with environment of care standards. Collaborates with Environmental Services and Facilities to assist in meeting these standards. + Manages UIT coordination for projects by initiating, scheduling, obtaining quotes and collaborating with project managers. **Special Projects** + Manages annual and emergency capital budget program. Utilizes capital budget system for the annual request program and P2P system to process capital budget requests. Collaborates with all managers to assess capital budget needs and propose requests. Coordinates Xerox repairs and maintains department copier codes. Maintains Crystal Rock contract orders, changes and updates.
